I currently have a Gravity Form email responses to an Asana project email to create a new task in the Asana project. This is happening with multiple Gravity Forms.
I would like to setup rules to move the form to various sections of the project and assign it to different people based on the form. However, I can’t find a rule condition that would allow a rule to be created based on anything that comes over.
@Lindsay16 - currently rules do not allow for “Conditions” based on task name or description content.
A couple options:
FIRST OPTION: Use multiple projects each with separate rules to manage your routing:
Set your different Gravity forms to each send the task to separate projects.
Use rules in the various router projects to first assign the task, then multi-home the tasks to your one central project in Asana,
and lastly, use the final action in the rules in the router projects to set a custom field that will either be used to route the tasks to the appropriate section, or the field will be the basis of a Group By view in your central project.
SECOND OPTION: Flowsana or other third-party tools
Alternatively, if you want to keep your setup exactly as is, you can use a third party tool to handle the routing.
The options are:
Flowsana.net, which is a fantastic tool for creating more powerful, custom Asana automations. It’s not free, but it’s totally worth it. @Phil_Seeman is the founder and is a very active and responsive forum user too. Feel free to ask him any questions.
Or, you can get a custom automation built with Zapier or Make.com. My team builds these, however, Flowsana is a reliable, and much more affordable way to go.
