I’ve created a “Project Brief” form in a project and Asana AI/help won’t identify it when I use the @ mention while trying to create rules for it. The project & form are both public, not private.
Welcome, @Kyle_Calcagno,
Asana AI Studio can’t “see” forms, but it can see the project in which a form lives and the tasks that are created as a result of a form submission. So that’s working as intended.
If you want to describe your underlying need/usecase, perhaps we could be of more help.
Thanks,
Larry
Hi Larry,
Thnx. I want to set up the “Project Brief” form so when a person is requesting to add a project they have to complete the “Project Brief” form and it is automatically sent to the appropriate manager noted in the form for review. The reviewing manager will have 1 of 3 choices:
- Approved, in which case, the requestor is notified of the approval, the task is moved to the “Approved” section of the Intake project and and actual project is automatically created by matching a project template to the information provided in the “Project Brief” form.
- Declined, the requestor is notified the project is declined
- Needs Changes, the manager can note what needs to change on the “Project Brief” form and it is sent back to the requestor for edits. After the requestor makes the edits, it can be resubmitted for review by the manager.
Depending on the details (your Asana plan level, specifics of the workflow, whether form submitters are in your Asana, etc.), there are different ways to implement this via standard Asana rules or Asana AI Studio rules. Usually, form submission is a one-time intake thing, so your Needs Changes use case would need to be fleshed out.
Carrying this out is best done interactively, and I work with clients daily on such workflows as an Asana Services Partner at Trilogi Solutions, or there are other partners as well, or perhaps someone will add detail here.
Thanks,
Larry
OK, thnx.
