I have built a service request database, which tracks issues with apartment rentals. Each task has a title eg “I’m locked out of my unit”, or “My bathroom needs a new lightbulb”. I want to have a field called “Urgency” that classifies every task as “low”, “medium”, or “high”. I know from experimentation in ChatGPT that AI is very good at doing this type of classification. I just need to know if Asana can automatically read the title of each request, and then determine urgency and put that text (low, medium or high) into the Urgency field. thanks
Hey @David_Swearingen and welcome on the forum!
Yes, Asana AI Studio can do this! Here’s how:
-
Go to Customize → Rules in your project
-
Create a new AI Studio rule
- Define the trigger for each time the task is added to the project (or to a section)
- in the Actions, set AI to populate your “Urgency” custom field
- with a prompt like: “Analyze the task title and classify urgency as low, medium, or high based on keywords and context”
=> AI will evaluate each new task and set the urgency level
Example
Pro Tips:
- Give the AI some examples in the prompt (e.g., “locked out” = high, “lightbulb” = low)
- Works great with form submissions too!
- Choose a “simple model” to reduce the cost on Credits (like GTP5 Mini)
Hope that helps, let me know if you have questions ![]()
thanks! i’ll try it. what plan and user level is required to use this?
AI Studio Basic is available for all paying plans, and comes with some monthly credits included in your plan. Then, to go further (and scale your workflows), you can choose an AI credit plan (Plus or Pro).
To summarize, you can test the workflow AI Studio for free, but if you want to use it regularly, you might want to pay for a dedicated plan.

Thanks. I am at the guest tier, so we will upgrade my account so that I see rules.
