We are asking our team to go "Asana AI teammates first"

This was my realization last week: I barely opened ChatGPT for two whole weeks. Not because I don’t use AI anymore, but because I used Asana AI teammates for everything.

It makes sense: most of the AI help I need is based on work I do. And work lives in Asana.

This is a big shift.

After that realization, and AI Teammates hitting General Availability this month, we decided to go one step further. We are asking the team to go “AI Teammate first” in their day-to-day, and use ChatGPT only as a backup!

PS: we also decided to walk away from ChatGPT and embrace Gemini, but that’s a topic for another day!

I was sceptical when reading the title, but if it is to replace another AI option then I’m all for it. :slight_smile:

Love this. I’ve felt the same shift once I tied AI help to the work already living in projects and tasks.

Do you have a general purpose teammate configured for requests thet don’t fall into a specific workflow? Or do you create a new teammate for every new case that arises?

Yes 100%. She is called Robin, her guidance is almost empty, but because she was trained by her “native” model and by Asana’s system prompt, she can be helpful with most requests.

Next step we are working on is making sure she can recommend other teammates if they are a better fit. This isn’t currently the default behaviour.

How do people ‘chat’ with her?

Assign a task and then the discussion is in the comments?

Creating a dedicated task if needed, but in most cases, because we use Asana for everything, the task already exists. Then using comments indeed

@Bastien_Siebman We are a manufacturing business operating internationally and have been using Asana for over 7 years to manage our operations.

Over time, we have implemented and standardized most of our processes using Asana’s core features, including workflows, reporting, goals, and milestones. Our system is well-structured, and a large portion of operational knowledge is already documented within tasks and projects.

However, we are facing a recurring challenge: when situations fall outside of standard processes, team members often rely on decision-makers for guidance. These decision-makers are frequently occupied, and in many cases, the answers already exist within Asana, but are not easily surfaced or utilized in real time.

This creates delays, bottlenecks, and unnecessary dependency on key individuals.

We believe that AI Teammates could be a game changer for us — particularly in:

  • Surfacing relevant information from existing tasks and history

  • Guiding team members through non-standard scenarios

  • Reducing reliance on decision-makers for operational queries

  • Improving execution consistency across teams

We have attempted to access or activate AI Teammates but it currently appears unavailable to us.

Could you please advise:

  • How can we gain access to AI Teammates?

  • Is there a beta program or waitlist we can join?

  • Are there any prerequisites (plan, region, setup) required for eligibility?

We would be very interested in participating, testing, and providing feedback, as this aligns closely with how we operate and where we see the biggest opportunity for improvement.

@Bastien_Siebman, people might think I’m biased (might be?) since I’m from Asana! :joy: But I’m truly enjoying AI Teammates and have been using them heavily.

We swapped notes during your visit to our Dublin office, and I even showed you the AI Teammate I built. Thanks to :dragon: Falkor (my first born AI Teammate baby), I’ve also noticed I’m relying on other AI tools way less. AI Teammates are right there in our tasks and projects with all the necessary Asana history and context, which makes things more fluid, apart from all the help with the random busy work.

I’ll keep my eyes peeled! I am really curious to hear your findings on that transition! :slight_smile:
