Hi Asana Community, it’s been awhile! 
I’m currently setting up a Knowledge Base (KB) in Asana to house our process documentation. Our goal is to seamlessly connect documented process tasks (complete with subtasks/checklists) to real-world incoming requests as they pop up.
Here is what we are aiming for vs. how we are currently handling it:

The Vision: A request comes in (via Form or direct entry). Ideally, AI or an automated rule detects a match with a process task in our Knowledge Base project, and automatically attaches that KB task (or its subtasks) directly to the incoming request.

Reality 1 (Current Manual Method): A team member reviews the incoming request, recognizes a matching KB process, searches the KB project, duplicates the KB task, and multi-homes or attaches it as a subtask to the incoming request. (High friction / manual step).

Reality 2 (Rule-Based Workaround): We ask requesters to choose a specific Custom Field value on a Form (or use AI auto-categorization to set the field). A Rule then triggers based on that Custom Field to automatically add multiple subtasks.
- The Drawback: Rules cannot dynamically pull or reference an existing Task Template or KB task directly. This forces us to manually duplicate and synchronize our process checklists across both the KB project and the Rule builder whenever a process changes.

How are other teams bridging the gap between a live Knowledge Base and automated request subtasks without maintaining duplicate checklists in Rules?

Is there an integration, API setup, or Asana AI feature you’ve successfully used to link KB tasks directly to incoming requests?
