How do I use the same template in multiple teams? I do not want to change it for each team everytime I want to update the template.
Hello @Fabian_Nöthe I assume you are referring to project templates.
Project templates are created and can be accessible by organisation members regardless of the team they are in. Check this article for guidance and to see how to make this happen.
Once a template is created, you can see how individuals can use the template to create a new project with our touching the template itself.
Hope this helps.
Hi @Fabian_Nöthe , to add to @Rashad_Issa 's useful link, you may also need to adjust your template settings in the template editor (Settings is the 3rd and last step) in the new Templates v2 which are now considered as âobjectsâ (not projects) that live within a Team - and I gather this is your issue.
So in the settings, apart from adjusting the Privacy settings (as per below snip) you can also invite members from other teams to access the template.
Note, by inviting members from other Teams to a Project Template, means they will have visibility to the Team that the project template is located in, meaning these members will:
- be able to see the Team name appear in their left navigation tab
- be able to access the Team page and see the other members within that Team
- be able to see the project template that you have given them access to
- not be considered âfullâ Team members so they will NOT be able to see any other projects (even projects public to the Team members),
But to keep things simple and retain privacy between Teams, another alternative I sometimes recommend to clients that need to use a common template across numerous departments is to create a team called âTEMPLATESâ where members from all these departments have access to, and thus that is where they all store the project templates that they have in common.
Just be careful when creating a project from a template to select the correct Team that you want the new project to be created in (as per below snip) since you do not want to create the new project in the TEMPLATES team. But even if done in error, you can always move it to the correct Team later.
Hope this helps
The way to implement user curated Templates is a bit non-intuitive at the moment, and a solution as to share the different custom templates is for our team very much needed. We are a large organization that has an Enterprise sub for ASANA, and we need a template across several different teams to make sure that everyone is working in a set workflow to keep the task information and roles interconnected and automated as best as possible via rules and fields.
With so many users, itâs a time consuming endevour to share the templates per team and project, so my suggestion (and wish in a, hopefully not-so-far-away, update) is to implement the same solution for templates as you have for Bundles -where there is a possibility to make the Bundle available across the organization instead of teams. By adding this functionality to Templates, it would make it way easier to ensure that all of our users in our organization, in all the different teams, has access to the templates they need in the Templates menu.
This way, when creating a new Template, there is a possibility to share across organization instead of only connecting them to a team.
Would be very much appreciated to get some feedback on the matter, and if there are other in the forum that sees the need for this as well, please upvote and feel free to add your thoughts.
Note: Not a solution but marked as such to elevate a key reply
Until/if Asana offers this, a common solution (and best practice) is to have a single âAll Staffâ team and place your org-wide project templates there.
This team should have all added as members, or set the team to Public and rely on individuals joining the team themselves if they want access.
(Iâve updated the title to clarify you mean Project templates not other kinds of templates.)
Thanks,
Larry
HI @Rashad_Issa and @Richard_Sather, can we make the template available to the entire organization or is it limited to the âTeamâ? I know âTeamâ is going away and maybe that will solve my issue. I want everyone at my firm to be able to access and use the template, and adding people manually is taking too long.
Itâs a good practice to have one team called something like âAll Staffâ that everyone is in. Create (or move) your template to that team in and template settings specify âAnyone in the team can use.â
Thanks,
Larry
Thanks @lpb, I was afraid someone would recommend this. Is there a easy way to create âAll Staffâ and make everyone as a part of this team? Or do we need to manually add 150+ names and maintain a method to add any newcomers over time?
Iâm sorry to say that it will likely be manual for you to do that, unless you have a plan (maybe Enterprise +) and IT can set it up in a certain way.
Sorry,
Larry
@Navjot_Singh2 , if the Team is set to Public to Organization you donât need to add anyone, really, because they could still just search for the template (and Projects) within such a team.
Otherwise you could ask everyone to search for the team and simply join it, themselves.
Thanks @Richard_Sather, that works! Weâll make the PMO team public and arenât using it much anyway.
Hi everyone! Iâm excited to announce Team Sharing is now available in Templates
