Hi Asana Community!
What I’m trying to do
I’m trying to use filters and grouping in a project to get a clear, organized view of work (e.g., grouping by fields like assignee, initiative status, priority, etc.). My goal is to see a complete picture of all work within the project, including subtasks.
What I’ve tried so far
I’ve applied filters, sorting, and grouping options. This works for main tasks, but the view does not appear to include subtasks in the results.
What’s not working
Subtasks are not being pulled into the grouped/filtered view, so I’m not getting a full picture of the work in the project. This makes it difficult to track everything in one place, especially when subtasks are an important part of execution.
Is this expected behavior with Asana views, or is there a way to include subtasks when using filters/grouping without taking the subtask out of the parent task?
Hi @Chelsea_C! This is expected behavior: subtasks do not automatically appear in a project’s filtered or grouped views because they do not inherit the project, tags, or assignee of their parent task.
To include subtasks in your project view (without removing them from the parent), you need to add each subtask to the project manually and set a due date on the subtask.
Steps:
- Open the subtask
- Click the three dots (task actions) or Tab + P.
- Choose “Add to Project” and select your project.
- Set a due date on the subtask.
Once added, the subtask will behave like a regular task in that project’s views and respond to filters and grouping.
I know this isn’t ideal. I’ve shared the feedback with our team. If you’d like, you can also add your use case and upvote it here: Product Feedback - Asana Forum
This is also an issue for me! There are often parent tasks I create where several people have pieces of the task assigned to them as subtasks, and none of those are visible when filtering. It recently caused me to re-set-up an entire project template for our team onboarding because filtering wasn’t working as expected. People should be able to see anything assigned to them, regardless of task type (task, subtask, milestone) when they filter by tasks assigned to them.
