Portfolio update status AI writen based on Custom fields

Dear community,

We’re trying to implement an AI prompt to optimize our status updates on our Asana portfolios with multiple projects. All projects are standardised (same format, same custom fields published in the organisation) but can vary in content.

Our AI prompt allows us to format the portfolio status output format and we want AI to be based only on certain critical projects in the portfolio that we categorize as P1 in a custom ‘Priority’ field.

It seems that after several prompt attempts, AI Asana is unable to base its status update query and output on information available in custom fields.

Have you ever succeeded in asking AI Asana to base itself on custom elements or is this a known limitation of the functionality?

Thank you for your comments and help on this subject
Best regards

Good question @Nicolas_VIGNERO !

From my experience the amount of metadata AI can use is limited. I’m also hoping this to be expanded in the future.

@Arthur_BEGOU Do you have any insights to share?

Hi @Nicolas_VIGNERO

I don’t think Asana AI (here “Smart Status”) can choose specific projects contained in a portfolio (or read certain criteria and pick the right projects)… yet. :slightly_smiling_face:

However, a workaround could be to create a portfolio rule:

  • If project has custom field “Priority” as “P1”, then move to Porfolio “Port. P1”.

And then, just run the Smart Status in that P1 portfolio.

Would that work for you?

Here is an example of the portfolio rule

Dear @Arthur_BEGOU ,

Thanks for your reply and time.

I think it is a good workaround but i expect better from Asana IA in future i hope so…
I’m not a big fan to multiply portfolios…

Anyway i will try your solution while I wait for an improvement in the Asana AI.

@Nicolas_VIGNERO
I’m all aligned.
Asana AI features are rapidly evolving, as well as the underlying LLMs.
