🏖️ Plan all your time off at once: multiple Out of Office entries are here!

Hi Asana Community,

I’m excited to announce you can now add multiple Out of Office entries to your Asana profile, all at once. Whether you’re planning a quick day off next week, a conference next month, and a two-week vacation this summer, they can all live on your profile at the same time!

Here’s what’s included:

  • Multiple OOO entries: Add as many Out of Office periods as you need. They all show up on your profile, giving collaborators and managers clear visibility into when you’re away.

  • New profile menu entry point: Finding and managing your OOO is now much easier. It’s right in the profile menu, no more hunting through settings.

  • Consistent across web and mobile: Set your time off from wherever you are. The experience works the same on both platforms.

  • API support: Developers and admins can now create and manage OOO entries programmatically, opening the door for syncing PTO data from HR systems or automating time-off management across an organization.

This has been one of the most requested features in the community for years. The Holiday/Leave/Block off time thread alone has 194 replies and 121 likes, with community members asking for exactly this kind of flexibility. This update directly addresses those core requests, and every reply, like, and vote helped make it happen. Thank you!

As always, feel free to share your thoughts and feedback in the comments. We’d love to hear how this changes the way you plan around your team’s availability!

Can you share how our admins would implement this? We use ADP for our PTO tracking and I assume they have an API we could use, but some guidance would be helpful, if you can point me in a direction that I can share with them. Thanks!

This has made my morning 100 times better, I can’t wait to share with my team on our next meeting!

Thank you for this!

Hi! Will this be visible when scheduling tasks?

This is a great addition! One tweak I would love to see is to allow us to set up recurring OOO, like where I do not work Fridays, so I could set myself as OOO every Friday.

@Emily_Roman bumping this post, as I’d also like to know how to sync PTO data from our HR system. Also, is this available for everyone or just some tiers?
Thank you for the help!

@Jeannine_Drost @Ricardo_Nogueira great question! I’m asking our team if we already have some API documentation we can share or if this is something we are planning to launch as integrations in the future :folded_hands: I’ll keep you posted!

@Lillian_Lively if you assign a task on a date when the assignee has scheduled time off, a warning icon will appear :warning:

Another great feature  It would also be amazing to be able to define recurring days like @Virginia_Mowery mentioned.

Love this new feature. We are able to add multiple entries, but it is not showing us a warning icon when we assign a task on a date when the assignee has scheduled time off. Is this in a future release?

Interesting! In the absence of this feature, my team made a PTO form which requests approval from admin, adds subtasks for adding PTO to their Google Calendar & logging the PTO in ADP, and a custom field with the amount of time off. I still have to manually assign it to the form submitter (AI messed it up too many times for comfort), but otherwise our system has been working well. I think the nuance of how we use it will ultimately keep the form set up a better fit than using this, but I appreciate that this feature exists now.

I am having the same issue.

Also interested in syncing with our HR system to avoid duplicate manual entry.

Currently we have a work around, but users are still do this manually in Asana for OOO notifications.

Following along! This will be great if it can connect to an HR system like ADP to automate.

When I try to assign work inside a project I’m not seeing the out of office flag notification. Is that something that should be happening?

I think you only see the notification if the due date falls on their out-of-office date(s).

Also bumping for ADP sync . Alternatively , curious about sync with SF since we also track employee free days there , and if this can be looped into Asana !

Thank you!

Hi all! Here is the API documentation: Ooo entries. Our team is also working on a more detailed post for our developers community in the English Forum > Developers & API category :folded_hands: We will update this topic when it’s published so you can find more resources.

Our product team also confirmed we haven’t fully rolled out OOO warnings, that’s why you can’t see it just yet but it’s coming soon. I’ll comment on this post as soon as it’s fully launched. Sorry for any confusion!
