New! Share custom fields with entire teams 👥

Hi everyone, :waving_hand:

Custom fields are a key part of how many teams organize work in Asana. But as organizations grow, managing who has access to these fields can get tricky. To help with that, we’re introducing team sharing for custom fields, making it easier to manage access and scale your workflows! :tada:

With this update, custom field admins can now share fields with entire teams, not just individual users. This change can help you:

:white_check_mark: Save time by giving access to teams in one go
:white_check_mark: Cut down on manual permission updates
:white_check_mark: Onboard new teammates into existing workflows more smoothly
:white_check_mark: Keep things secure while making it easier to scale across departments

If you’re a custom field admin, you’ll now see the option to share fields with teams, just like you already can with individual people. Nothing about your existing field permissions will change. This just gives you another way to manage access more efficiently.

In future iterations, we hope to add “Filtering by team” in the custom field library. There’s no ETA on this yet, but as soon as we have any news, we’ll let you know.

Hi @Vanessa_N great news! Will this also work for the ‘read only’ links for the timeline view? We have faced (and passed onto your team) the issue of the custom field colours not transferring into this view and were hoping for that to change soon, too! Let me me know and thanks a lot, Louise

How will Guests of teams be handled? For example, in “Team A” in the screenshot example.

Louise, I’ll need to escalate your question to our PMs and will get back to you as soon as I hear from them.

Peter, guest access to custom fields hasn’t changed. Guests will always be limited to User access (they can view and use the field, but not edit field settings), whether they’re added directly or through a team. So in the example shown in the screenshot, even though “Team A” has Field admin access, its guests will still only have User access.
