Managing Content Creation Workflow for My CapCut Website with Asana

Hi everyone,

I’m running a website focused on CapCut tutorials and resources, and I’m trying to streamline our content creation process using Asana. Currently, I’m facing a few challenges:

  1. Task Dependencies: We have multiple team members working on video scripts, graphics, SEO optimization, and final publishing. I’ve set up task dependencies, but sometimes Asana doesn’t notify team members when a dependent task is completed. Is there a way to ensure notifications are sent automatically when dependencies are cleared?
  2. Custom Templates: I want to create a reusable project template for our content workflow. The template includes tasks for keyword research, content writing, video editing, and social media distribution. However, when duplicating the template, assignees and due dates don’t carry over as expected. Am I missing a setting?
  3. Integration with Website CMS: Is there a way to integrate Asana with our website’s CMS (WordPress) to automate updates or track publishing deadlines directly?

If anyone has experience managing a similar workflow or has suggestions for optimizing our use of Asana, I’d love to hear your insights!

Thanks in advance for your help!

Hi, @joeroot.pk80! What plan are you and your team currently on? That will change some of the answers to some of your questions!

Thanks for getting back to me! We’re currently on the Premium plan. Let me know if that impacts the solutions or if there are specific features I should explore based on our plan. :grinning: :grinning:

Looking forward to your insights!

@joeroot.pk80 - a few things!

  1. Task Dependencies - each user sets their own notification settings. Project Owners can change settings, but if your people are missing notifications, they should check their account notification settings to make sure notifications are turned on for “When your work is blocked or unblocked”

  2. Templates! So, if you are on Premium, your templates should be a lot more robust. Instead of creating a project, labeling it a template project, and duplicating it when you need to use it again, you should be using actual Asana Templates.

Take a look at this article: Asana Help Center

The easiest way to create a new template is by going to the asana team page, and clicking on “Create Work” and selecting the “New team template” option.

You can create roles vs. people - so if you have multiple graphics people, you can create a graphics role in the template. When you use the template, you can assign the graphics role to a person.

To use the template, you select “Use Template” when creating a new project, vs. starting with a blank project.

  1. While I have not tested it or looked into it, I’ve got this integration on my list to do some research on: Completionist – Asana Integration Suite Plugin — WordPress.com

I have one question in my mind that How can users ensure they receive notifications when their work is blocked or unblocked?

@winston_kather - if you are using dependencies properly, Asana will automatically notify you based on your notification preferences when work is blocked or unblocked. If your users aren’t seeing the notifications, or are looking for email notifications when work is unblocked, they may need to update their notification preferences under Settings / Notifications:
