How to replace project admin to another person

Hi all,

I encounted an issue, it’s a colleague who used to be a concultant but now emplyeed by our company and got an real email address with our company email domain. But he already has an Asana account with the old email address and created a bunch of projects already. Now what we need to do is to transfer all the records under his old account to the new one, but seems only project admin can change admin role, when he log in with the new account he is not admin to any of the projects under his old account, therefore he can not make the change.

What I search for help is if anyone knows best practice to handle such situation? what we should think about when setting the project sharing rule for the future, coz it happens quite often that we need change project manager during the project cycle, is it only power user that can do this or any convienient way?

Your colleague should log in under his old email address and grant his new email address as project admin for each project where he had that role with the old email address.

For the future, generally it’s a good practice to have two or more people as project admin (and team admin) to never get caught in these situations. Another approach is create a user like asanaadmin@yourorg.com and use that forever (but it takes up a seat) as the custodian for shared objects.

For your colleague to switch users, there may be many other things to update/replace, in the event that he created shared custom fields, rules, etc.

I see. But does super admin has the authority to change ower of record even the record doesn’t belong to him/her?

No, the project admin as that capability, not Asana admin nor Asana super admin.
