How to have one dedicated priority based task list for an employee?

Hi everyone,

So we have used Asana for a couple of years and we love it.

One issue ive found is that, ive started sending staff a list of HIGH PRIORITY tasks in a morning via whatsapp, because they are being missed on asana.

My staff currently just use their INBOX to see what they have been tagged in and work their way down the list.

Whilst we have a number of different projects on asana the main two ways we use this are
ACTIVE PROJECTS. Under this, every job we do gets a new entry created and all documentation/chats are kept there. For example i completed a project yesterday and i have marked it as COMPLETE which automatically creates a task for our admin staff to invoice the job.

Now this is a fussy client, and the invoice must be sent first thing this morning. BUT if my admin staff member gets tagged in other projects and chats….the invoice task will be low down in her inbox.

We also have a WORK REQUESTS project. Where we can manually add tasks for each employee (and obviously set the priority). But this has the same issue. As they use the inbox, its gets pushed down the list.

So, is the solution to instruct staff to not rely on their inbox?

I am a bit confused as to where the central main homepage location they use to view all of their workload (sorted by priority and/or date?)

Any help would be appreciated.

Looks like you need people to simply use My Tasks :grimacing:
If you only use the Inbox, you are in “react” mode and losing info, the ideal state is to use both Inbox and My Tasks.

Obviously agreeing with the sound advice from my friends @Bastien_Siebman and @lpb above, I must say this: definitely stay away from Whatsapp or any other method of communication which is just a band-aid to the core issue, resulting in more fragmented comms. You will only be ‘spoiling’ your colleagues..

All they need to do is master their My tasks apart from checking their Inbox, just like we all learned how to use email.. they can do it :flexed_biceps:

Well we actually haven’t learned, and that’s also an issue, because most people use them wrong (imho, not archiving anything, no putting in folders, not unsubscribing, not using rules…)

…or not using the ‘Reply to all’ button and instead creating a new email :man_facepalming:
