How should I manage my clients with Asana?

I’d like to know how to use Asana the best way possible for my team.

We are a real estate company that manages properties, and we get paid monthly for our work. I have clients who have more than 20 years and new clients.

I saw that most recommend creating projects for each client, but I have over 100 clients and over 200 properties in my list. If I create a portfolio for each client and a project for each property, you can see how it can become a chaos… Imagine if I expand my company…

So I was wondering what the best way is to manage multiple clients (over 100) with Asana and also get an overview of how they are doing. My first thought was to manage by topics, for example: Contract renewal, Finance, Insurances, Maintenance, etc., and linking the property ID with each task, but how would I specify all history with this method? Each maintenance has its resolution and negotiations. If I use a custom field, would I be able to get a dashboard showing everything that happened with property ID #4, for example?

The other idea is to create one project per property, but how would I manage over 200 projects? There are going to be a lot of repetitive tasks, for example: Check if paid, Remind due date for payment.

Well, I’m a bit lost. I need a complete overview with easy access for anyone on every property, so if a client reaches out, we can see everything that happened, but I’m unsure of how to do it.

I think Asana could be a good partner.

Unless you’re willing to learn Asana inside and out yourself, I’d recommend you enlist help. Of course, I’m partial; I’m an Asana Services Partner, and there are other partners here on the Forum who help with just these things.
