Here's how iDO is using Asana AI right now

I was skeptical of AI in Asana at first. But because our clients might ask about it, I had to look at AI in Asana more deeply. I didn’t expect AI to become an important part of our daily processes.

After several months of using official AI features, as well as dogfooding the upcoming features, I must say: this is more useful than I anticipated. AI already saved us several hours (if not dozens) and helped us streamline our processes as well as ensure consistency.

Below are examples of how we currently use AI. Guaranteed no BS, this is all true usage from our team.

  • :sparkles: Translation: when I am done writing a post (like this one) in English, I trigger an automation to translate automatically to French (using some company guidelines) and assign a subtask to my co-founder Julien for review.

  • :sparkles: Agents: we call agents tasks with which you can discuss to solve a serve a specific purpose. We have an agent specializing in answering Asana licenses related questions. For example if you ask how much it costs to buy 27 Advanced seats, it will answer you need to 30 seats and will share the full price and unit price in euros and dollars.

  • :sparkles: Data consolidation: we recently decided it was time to clean our “lead origin” tracking. After working with more than 500 clients, we have a lot of data to consolidate. AI helps us dig through the comments and subtasks to identify where a lead came from.

  • :sparkles: Data extraction: we also started working with a fractional CFO and for each invoice we have he wants to get the start and end date of the subscription. This info is stored in PDF files attached to tasks, we use AI to read them and extract those dates at scale.

  • :sparkles: Naming conventions: we run an internal project listing everything we know about the Asana roadmap. And we came up with a pretty complex naming convention, involving different emojis in a specific order depending on the dropdown selected. AI renames the task accordingly for us.

  • :sparkles: Lead enrichment: when a new lead comes in, we use AI to fill in industry and company size.

  • :sparkles: Standardize engagement status update: when a consultant deploys Asana, they are required to make regular status updates on the project. We created our own template of prompt to standardize the structure and content of this update.

  • :sparkles: Find lost tasks: sometimes we can’t seem to remember enough about the task to find it through regular search, and we use AI chat to dig it out.

  • :sparkles: Refine comments: especially handy when English is your team language but isn’t your native language, we use AI assistance to re-write some comments.

This is only the beginning. We’ve identified more than 30 use cases for AI, just from the top of our head, and we are working on implementing them. The next few months are going to be very exciting!
