Below are the answers to the most asked questions during the webinar, as well as a few we didn’t have a chance to address via Q&A. Let us know in the comments if you have any questions. Feedback about the product and features can be posted in the Product Feedback category in the Forum.

Pricing

  • Which features correspond to which tiers?

Portfolio saved views

  • Is it possible to hide the workload view in a portfolio? Yes! You’re able to remove or rename any tabs in your portfolios.
  • How many views can be saved? You can save up to 12 tabs in portfolio and projects.
  • Are there portfolio permissions? Portfolio Access Levels let you assign flexible roles—Admin, Editor, or Viewer—so you can control who manages the structure, content, and setup of the portfolio.
  • Is it possible to enter estimated time against a project in the portfolio view? Yes, you can add estimated time to portfolios.

Portfolio rules

  • What trigger can you use for portfolio rules? With portfolio rules, you can update statuses, fields, dates, move items within portfolios, and more—all based on specific triggers you define. These are the new triggers, conditions and actions available in portfolios below:

  • What are the limits for portfolio rules? Each portfolio can have up to 50 rules, with 20 triggers, 5 actions, and 5 branches allowed per rule.
  • Is there going to be a functionality in portfolio rules where we can tag someone and add a comment? This is on our team’s radar and hopefully we will implement it in future updates!

Custom field rollups

  • Can you add estimated/actual time to tasks within a project and have those roll up to the project? Yes!
  • What custom fields can be used as rollup inputs? You can use number custom fields, time tracking, and other formula custom fields that generate a numeric value. Roll-ups are only available for numerical fields.
  • Can I create charts in reporting using rollups? Yes! To use roll-ups on charts in reporting, you can create a new formula custom field with the roll-up function. Once set up, you can use this new field in both rules and reporting. Learn more about how to create charts here.

Manual triggers

  • Can I manually run auto-triggered rules? Yes! You can now create rules that trigger in three ways: manually, automatically (as before), or both—giving you even more control over how your workflows run.
  • Will this take the place of my “Actions” single-select custom field “menu” and corresponding rules auto-triggered by their selection? Absolutely! It’s all about what works best for you and your team. With these rule triggers, you can skip the hassle of creating and managing custom fields while still keeping things organized. Plus, they’re the only way to add your action directly to the right-click task menu and task detail pane—making it feel like a natural part of your workflow.
  • Will the rule’s “If 
” conditions be run when manually triggered? Yes! When you add an “If
” condition, it will be checked each time the rule is triggered manually. This gives you the flexibility to create customized, condition-based rules that fit your needs.
  • How many manual rules can I add per project? The limit is 50 rules per project, which is shared with all rule types.
  • Will manual rules also run on subtasks? Not right now—manual rules currently don’t apply to subtasks.
  • Is there a way to run a manual rule against an entire project, or does it have to be done per individual task? Manual rules currently need to be run on individual tasks. We’ll pass along this feedback to our product team!

Date-based automations

  • Are there any plans to have a business days option? We’re exploring a ‘skip weekends’ option for a future update, but we don’t have a timeline to share just yet. We’ll be sure to keep you posted as things progress!
  • What date picker options are available? Can I set a due date relative to a custom field date? Yes, this is possible! A date custom field will appear in the dropdown as an option.
  • How can I use date based automations to require review by another team member once a task is complete? This can be done using a dependency, you can learn more here.

Rule triggers for numerical custom fields

  • In addition to number fields being a trigger, are number fields going to be a “check if” as well with this release? Not at the moment, we’ll share this feedback with our product team!

Trigger actions based on milestones and approvals

  • Is there a chance we could get quick follow-up options for approvals? For example, could there be conditions for “Approved,” “Changes Requested,” and “Rejected”? This is on our team’s radar! We’re hopeful to include it in future updates. Thanks for sharing your feedback!

Coupled conditions

  • Will the old rule builder be sunset? When? Yes, the old rules builder will eventually be sunset after this update is fully launched. Although we don’t have a date confirmed yet, it’s likely to happen by the end of the year. We’ll share more updates as our timeline become clearer.
  • Will this migration impact my existing rules created in the old builder? No, existing rules will be smoothly migrated into the new model. This update is designed to ensure that your rules continue to function seamlessly within the new rule builder.

PDF summary reports

  • Can we create an automation to email pdf summaries to identified recipients automatically? This is currently not possible, but we will make sure to pass it to our product team for consideration in the future!
