Emailing tasks from shared email that does not have a license to Asana

Hello!

We have a shared mailbox that is “donotreply@xxxx.com”.

I’m working on a power automate script that will email a task to an Asana project whenever a new document is added to a specific document library in SharePoint. It will be using the “donotreply” email address as the sender.

The issue is that this email does not have a license to Asana and I was not successful in emailing tasks from this address. Is there a work around for this? Does this email need a license to email tasks? Could it be a guest and if so how do I set it up for this project? Also, if there is an easier way to accomplish this, please let me know.

When I try to use the DoNotReply email to send a task, I get this reply from Asana:

Hello @Kim_S

It is not possible to email tasks to Asana from addresses not linked to the account. This set-up is both preventative (to stop accidental and unintentional task creation by users, who will not be able to monitor the task at a later stage), and also, if you are using the x@asana.com, that sends the tasks to the sender’s My Tasks (which means assigning them to that user), which cannot be done if the user doesn’t exist.

I would recommend looking into the options offered by integrations with SharePoint or OneDrive instead.

Hi @Kim_S , I’m trying to recall whether I had tried this and whether it worked but it may be worth a shot:

You could try adding the shared email to your existing Asana account by going to your settings, Accounts and ‘add new Email’. Then, in the Email forwarding tab, select the Asana space that you want the new email to create tasks in.

Note that tasks will appear to be created by you (your user account) and not Asana.

Hi @Kim_S , Regarding your desired method:

If your Asana subscription plan is Enterprise (or Enterprise+) tiers, how about using View Only Licenses in Asana?

Would it be possible to achieve your desired functionality by registering a send-only email address (“donotreply@xxxx.com”) as an view-only licenses address?

Hello

Unfortunately we are currently trialing the Advanced licenses (we’ve been on a premium license for several years). I think we might have to allocate a license to this email address to get this to work. I just tried adding it to my account as a secondary email address and the tasks are not being accepted into the Asana project.

Have you tried this method?

@Kim_S , did you check your settings in the ‘Email forwarding’ tab?
You need to allocate the email addresses to the right Asana space.
