Email Forwarding - Does it recognize notification settings?

Hello! When our teams use the email address ( Email messages) for their project, it sends an Asana notification to all members of the project regardless of their notification settings.
For example, if a Project Owner on my team forwards an email using the [project+#####@mail.asana.com] address for their project, and I have notifications for Messages turned off, I will still get a notification in my Asana inbox about the email forwarded using that address.

Is this a defect or am I just missing the toggle to turn these notifications off?

Hi @Claire_Franklin, the checkbox to switch such notifications off would be the ‘Tasks added’.

The Messages checkbox is for receiving notifications when someone posts in the Messages view tab of a project.

Thank you @Richard_Sather! I have all notification settings off for the project but continue to receive notifications when the Email messages functionality is used.

Any ideas?

@Claire_Franklin, Make sure in that dialog that a team doesn’t have the Tasks added checkbox ticked for all in the team.

Otherwise, if rules run to make you a collaborator of the task, that would generate notifications too.

Or if the task is added to another project as well (multi-homing) that could be the culprit–same things must be checked in that other project(s).

I appreciate the feedback, @lpb! The functionality mentioned in my concern is for emailing messages to the project. When the functionality below is used, it does not seem to recognize the Messages notification settings for those on the project.

Are there any ideas on how to have the notification settings for Project Members acknowledged when the Email to project messages functionality is used?

At the bottom of every project’s messages page, there is an email address listed. The email address for any project message is project+projectID@mail.asana.com

That’s interesting behaviour you are reporting. You would think that notifications settings would be respected even when using this feature.

@Forum-team could we have some clarification from the relevant product team on whether this is indeed expected behaviour?

@Claire_Franklin, like @Richard_Sather I too thought you were talking about mailing to a project this way:

The above would be controlled by the Tasks added checkbox, but your emailing to messages would be controlled by the Messages checkbox.

You could wait for the Forum Team to respond, or feel free to Try these troubleshooting steps, then please create a support ticket: see How to contact our Support Team.

My take is that both both ways to email should respect the settings; Tasks added currently honors tasks coming from manual tasks, task templates, forms, etc.

I can confirm that what you’re experiencing isn’t the expected behavior, since notifications for project messages forwarded via email should still respect the project notification settings.

However, I ran some tests with different Asana accounts and wasn’t able to replicate the issue. In all cases where the project-specific notifications for messages were disabled for the test collaborator, no notifications were received. The only exception was when I tagged the collaborator by adding them as a CC recipient in the email message, which triggered the “@mention” notification as expected.

That said, I recommend following Larry’s advice and trying the troubleshooting tips. If the issue persists, please reach out to our Support team, and they’ll be able to investigate further. When reaching out to Support, please include as much information as possible in your request, such as the project URL, a screenshot of your inbox showing the message that triggered the notification, and a screenshot of your project notification settings. Feel free to include the link to this thread as well, as this might help them better understand the problem. :slight_smile:
