Hello,
We use a custom field called “Status” in our projects (To decide / To do / Doing / On hold / Finished).
The status works correctly within the projects themselves.
However, in My Tasks, the same status values are not always reflected correctly, or they do not appear to sync consistently with the project status. It seems that My Tasks may use a separate structure that is not fully aligned with the project-level custom field.
The Status field is set up as an organization-wide custom field.
Could someone please clarify:
-
How custom fields are supposed to behave in My Tasks
-
Whether full synchronization with project status fields is supported
-
Which settings are required to ensure consistent behavior
Thx!
Hello @Pieter10 and welcome to the Asana Community Forum.
We hope that you are having a great day! Thank you very much for your questions, and let me try to answer them:
1. How custom fields are supposed to behave in My Tasks
My Tasks acts as your personal dashboard that automatically gathers tasks assigned to you from all projects. However, custom fields don’t automatically appear in My Tasks - you need to manually add them by clicking Customize in the top-right corner of your My Tasks page, then selecting the fields you want to see. Once added, you’ll see the actual values from your tasks across all projects.
2. Whether full synchronization with project status fields is supported
Yes, synchronization is supported when you’re using the same organization-wide custom field. When you update a Status value in either My Tasks or within a project, it updates the same field on that task everywhere. However, inconsistencies can occur if:
-
The Status field hasn’t been added to some tasks yet
-
Different projects are using separate “Status” fields that only share the same name
-
You haven’t added the Status field to your My Tasks view
3. Which settings are required to ensure consistent behavior
To ensure your Status field works consistently:
-
Add the Status field to My Tasks: Go to Customize in My Tasks and add your organization-wide Status field
-
Standardize across projects: Make sure all your projects use the same organization-wide Status field (not separate project-specific ones)
-
Apply to existing tasks: Ensure existing tasks actually have the Status field applied - you can bulk-add fields in list view if needed
-
Update templates: Include the Status field in any project templates so new tasks automatically have it
We hope this helps, Pieter30, and let us know if these work. In the meantime, if you would like My Tasks to auto-surface project fields without adding them first, you can add your feedback here, so others can upvote: https://forum.asana.com/c/forum-en/product-feedback/20
Thank you once again, and enjoy your Asana experience!
