Changing the year on all tasks and subtasks

Hi, I have a project that runs over a specific period every year so instead of creating a brand new project I want to copy and paste last years project an just update the year in the tasks and subtask, all the days and months can stay the same, it’s just the year that needs updating, is there a way to do that?

@Gail_Sheerin - Welcome to the forum! Is the year stored in a custom field, the task title/description, both, or somewhere else? If it’s in a field, you can bulk-select the tasks and change them. If it’s the title/description, you could do this via a rule (unless you have limited rule runs, as this would eat up a lot of those).

It’s actual the date on the subtasks within each task. For instance, this project has about 60-70 tasks and each within those 60-70 tasks are about 1000 subtask because its a huge project, each of the 1000 subtask all have different dates but all I want to change is just the year in all the subtasks, for example I want to change 02/03/2023 to 02/03/2024? Is it possible to change the year in a group of subtasks only?

@Gail_Sheerin - are you using project templates? You can set relative dates in the template. When instantiating a new project from the template, you set the start (or due) date, and it will push the relative dates to all the tasks/subtasks.

No, my understanding is that this project was set up in 2023 so then for 2024 it was just copy and pasted into a new project hence why all the dates are still 2023?

@Gail_Sheerin - if your team hasn’t gotten too far into the work yet, I think turning the 2023 project into a template and then using the template for 2024 is the easiest path (you can convert a project to a template like so:

If you want to continue using the existing 2024 project, the only way I know of to shift dates in bulk is to go to the Gantt view, select your tasks, and then drag them forward by 1 year. You can change the view to years (instead of the default months) to make that easier.

Thanks Stephen, yeah I’m going to do your suggestion of creating a template, if I keep the subtask dates in the template, when I go to create this project in 2025 using the template will the dates automatically update as 2025?

@Gail_Sheerin - yes, when you convert an existing project to a template, any due dates you have on tasks/subtasks will automatically convert to relative dates in the template.
