Calendar template

:light_bulb:

I’ve been building an org calendar from scratch and running into some challenges organizing the data and the different views to meet our needs. I’ve seen reference to an organizational event calendar template in a couple Asana articles, but I don’t see that option when I go to the new project templates in Asana. Any organizational calendar templates you can direct me to or share - i.e., a fairly simple way of representing important dates/events in list view, calendar view, and timeline view with items grouped by the organization’s divisions and some processes and units within those divisions. Any suggestions?

Hello Daniel. Thank you very much for your feedback. While we are still in the process of including an organizational calendar template in Asana, here is a step-by-step guide for you to customize your own org calendar template:

Step 1: Get Your Project Started
• Click the + Create button in the top bar
• Select Project
• Choose Blank project (or check if there’s an event planning template that works)
• Give it a clear name like “2025 Org Calendar” or “Company Events Calendar”
• Pick your team and set it to public (unless you need it private)
• Select Calendar as your main view to start
• Hit Create project

Step 2: Build Your Structure with Sections
• Create sections to organize your events - think about how your org is divided
• Try sections like:
- “Marketing Division Events”
- “Operations & Finance”
- “HR & People Events”
- “Executive/Leadership”
• You can always add more sections later as you think of them

Step 3: Set Up Custom Fields (This is Key!)
• Click Customize in the top-right corner
• Go to Fields and click + Add
• Create these helpful custom fields:
- Division (dropdown): Marketing, Operations, HR, etc.
- Event Type (dropdown): Training, Meeting, Deadline, Launch, etc.
- Priority (dropdown): High, Medium, Low
- Status (dropdown): Planning, Confirmed, In Progress, Complete
- Location (text field): For venue/meeting room info

Step 4: Add Your Events as Tasks
• Start adding tasks for each important date or event
• Give each task a clear name and description
• Set due dates so they show up properly in calendar view
• Fill in your custom fields for each event
• Add any relevant attachments or links in the task description

Step 5: Test Your Different Views
• Switch between views to see how your calendar looks:
- Calendar view: Perfect for seeing everything by date
- List view: Great for detailed planning with all your custom fields visible
- Timeline view: Shows how events relate to each other over time
• Adjust sections and custom fields based on what you see

Step 6: Save It as a Template
• Once you’re happy with the setup, click the dropdown arrow next to your project name
• Select Save as template
• Name it something like “Annual Org Calendar Template”
• Set sharing permissions for your team
• Click Create a new template

I hope this helps. But if you’re looking for a specific gallery template, I can pass that feedback on to the team. You can also add your vote here so others can chime in: Product Feedback - Asana Forum

Thank you very much, and Happy New Year! :asanacurated:  :fireworks:

Thanks!
