I have a portfolio that includes a project for each of our events (50 events, 50 projects within the Portfolio). Each project has a custom date field that represents the event date. I’d like to display all of these projects within this portfolio on a single calendar based on that custom date field. Does anyone have ideas on how to set this up?
1 Ensure Custom Date Fields are set up Verify that each project has a custom date field representing the event date
2 Use a Calendar View
3. Group Projects into One Calendar Use Portfolios Timeline View or Create a custom report to pull all projects into one calendar.
4. If you want you can sync with another external calendar Like google or Outlook
I don’t think there is a way to do that using the portfolios and custom fields. But here’s an alternative solution:
- Create a new project for “Calendar of Events”
- In the existing projects for each event, you probably have tasks/milestones for each event, but if you don’t, create them. Use the default start/due date field to track the date of each event.
- Add each of those tasks to the “Calendar of Events” project (using Asana’s multi-homing feature).
Now if you look at the calendar view in the Calendar of Events project, you will have the single calendar with only the event dates (you can make this the default view for this project, if you want). You can also sync this project to an external calendar if desired.
