Best Asana setup for a solo content site, editorial calendar plus recurring maintenance

Hi everyone, I run a content site called www.crabguide.com, and right now I juggle two very different types of work, writing new articles and doing recurring maintenance on old ones (price updates, fact checks, adding internal links as new pages go up). I have been tracking both in one messy list and things keep falling through the cracks.

Would you recommend two separate projects (new content vs maintenance) with different views, or one project with heavy tagging/custom fields to separate the two? I am a solo operator, not a team, so trying to keep this simple but still actually useful. Curious how other solo site owners structure this in Asana.

It’s hard to answer workflow questions like this without full context, seeing your Asana, ability to have an interactive dialog, etc., so while I help clients with these things daily, I’m reluctant to do so here because I don’t think it’s possible.

Some direction for you at least:

Why are things falling through the cracks? I’d start there. There are an infinite number of ways to set up your workflow in Asana, and always room for improvement, but that may be secondary to the underlying cause of your problem.

You mentioned custom fields. Keep in mind that if the two types of tasks have different attributes (custom fields), then given the fact that custom fields are project based, then having all tasks in one project would result in every task having some number of custom fields that are inapplicable to it. Not clear if that means not to do it in one project, two have two projects, or to have three projects–the third having multi-homed tasks from each of the other two.

But maybe that gives you an understanding why it’s hard to give a simple answer here!
