Some time ago, asana changed its subscription models and equipped them with new features and limits aimed at meeting customer needs. For companies that have not yet manually switched to a new subscription, this will happen automatically in 2025. We should receive an announcement 45 days prior to the change.
Our company is currently using the “Premium” subscription, which is set to be converted to “Starter” this year. We are particularly concerned about the limits for automations. Our use of asana is primarily focused on simplifying processes and saving time. Predefined rules help us move tasks in “My Tasks” based on due dates and automatically change field content in projects.
We have 20 team members using asana, each triggering 3 rule actions in “My Tasks” daily and up to 30 rule actions in projects. This amounts to around 660 rule actions per weekday for our company.
At this point, we are unsure whether we will be able to use asana as usual after the automatic switch to the “Starter” subscription or if we will need to look for alternative software. The latter would be quite frustrating, as we have already invested a significant amount of money in building and training our staff. Upgrading to the “Advanced” subscription is not an option for us.
We hope to gain insights from companies in this forum that have already transitioned from “Premium” to “Starter” and how it has affected their workflow. Are our concerns unfounded, and are there only advantages to the switch? If so, what would those advantages be?
Additionally, we have formulated some questions regarding the limits to clarify our uncertainties about the change:
- Does the limit of 250 actions per month for “Starter” apply to each user or to the entire company?
- Does the limit only include actions triggered in projects, or does it also apply to “My Tasks”? For example, moving a task to a specific section as its due date approaches.
- If rules in “My Tasks” count, does each action triggered for a task being moved count separately? Or is the rule counted only once per activation, regardless of how many tasks are moved?
- Is it correct that using rules cannot be centrally blocked if the limit is exceeded?
- Is it correct that using rules beyond the limit is not charged individually or available for purchase? There’s no individual pricing? Will we automatically be billed at the higher subscription rate that month? And will this only apply to users who exceeded the limits, or will every user in the company be billed at the higher rate? Are there any examples of billing for this? What would it mean financially for us if the limit is exceeded?
We would greatly appreciate any information, examples, and support regarding our situation.
