Our team manages hundreds of projects, each with unique codes that we store in custom fields to streamline our workflow. But currently, the inability to search these custom fields significantly hinders our efficiency. are there any solution for this?
While the advanced search feature partially addresses this need, it is limited to admin users. For a team of our size, all collaborators must have the ability to search custom fields directly.
Hi @Muhammad_Sultan_Aqil , as far as I know, Advanced search is available to all users (including Guests) on any paid plan. This includes searching by custom field values. Not sure what you mean by it being âlimited to admin usersâ.
Note, there is an ongoing A/B test which removes the working âAdvanced searchâ at the bottom of the Basic search list and instead place a âsettingsâ icon on the right of the search bar. Perhaps that is why only some users are seeing âAdvanced searchâ?
Thank you for responding, but Iâm still having a problem with guests not being able to add custom field filters in the advanced search. The custom fields are not showing up when they type the field to filter. Are there any way to fix this issue?
Perhaps for Asanaâs future improvement, ideally, a search function should search ALL of the text associated with any project, including custom fields (both global and non-global). If itâs text contained anywhere within a project, the search function should be able to see it by default.
To make it easier to understand I have screenshot the field through 2 accounts, 1 with the paid plan and the other one from the guest and as you can see the âQuote IDâ field does not show when you use the guest account but it shows when you use the paid account.

Hi @Muhammad_Sultan_Aqil , global fields that are added to your field library will not be visible to Guests, unless they can already see these fields in projects that they are already a member of or have access to.
If you add your Guest to a peoject that include the custom ID field âQuoteâ then it should come up in their Advanced search as an option.
In my opinion, this isnât something to be fixed, it is expected behaviour for Guests users who have certain limitations.
