What I’m trying to do
To prepare for upcoming conferences during the year, I have created a form to create a task (very simple form: email address + attachement for a one pager). I want to use AI studio to get information from the one pager and populated in the custom fields created for the task.
My prompt is the following:Review attached files (prioritize one-pager PDF/image) for form ‘Your upcoming conference’. Extract from attachments AND perform web search.
**Extract to custom fields:**
- Conference name → ‘Conference’ (exact from doc)
- Conference start date → ‘Conference Start Date’ (search online for conference dates)
- Conference topic → ‘Conference Topic’ (main focus the conference, search online)
**Generate 3 LinkedIn posts → ‘LinkedIn Posts’ (text field, labeled format):**
- Post #1 (21 days before task Due Date): Data/presentation highlights from one-pager. Engaging, stats-heavy.
- Post #2 (14 days before task Due Date): Conference topic overview. Note: “Attach marketing materials when posting.”
- Post #3 (7 days before task Due Date): Countdown invite: “Meet us at [Conference] soon!”
Structure: Bold labels, copy-paste ready posts. If doc unreadable (image), use task description/form data. Max 300 chars/post.

What you’ve tried so far
I have created the form, the rule and the custom fields in the task. When I submit the form with my one pager (3.7 MB), the form is successfully submitted and the task created with the attachment attached.
However, nothing is populated in my custom fields, even if what is supposed to be populated is clearly stated in the attachement. -
What’s not working or confusing
I do not understand why the fields are not populated or what I can do differently.
