About team sharing, project membership in team(s), and also free plans

I’m having trouble accessing projects. I’m getting the below message come up on any projects that I move between teams. Is this a glitch? or have I hit some sort of maximum number of projects in my account?

Hi @Maxine_Booth ,

This isn’t as much a limitation on the amount of projects, rather a limitation on sharing projects with multiple teams.

A couple of questions:

  • Are these projects shared with multiple teams?
    – If so, I think this is expected.
  • If not: Is the team under Project Details different from the team under the share settings?
    – if so, that might explain it. Not sure if this is expected behaviour though.

Thanks for your response @Jan-Rienk.
It appears that when we edit the project details to change the team it is sharing the project rather than moving it between teams. This has only just become a problem last week as wasn’t previously so I’m assuming there has been some change in Asana recently.

Our next issue is that only the team members of the first/original team are able to see the project when its moved. From what I can find it appears the access settings are defaulting to “Private to Team members” rather than “Shared with Team” as you can see in the below image.

It just adds more steps to our processing of projects so really only mentioning this in case others have a similar problem.

Hi @Jan-Rienk and @Maxine_Booth, sorry for the delay! To clarify, we’ve recently launched an option to share projects with entire teams by inviting them as project members. However, this feature is only available on our paid plans. If your paid plan or trial expires, all paid features, including team sharing, become unavailable.

The message you are seeing indicates that your project is currently shared with teams outside the “Urban jobs” team, which is the “container” team where your project lives. Since team sharing is a paid feature and your plan has expired, you need to remove these other teams from your project members in order to dismiss the pop-up.

I would still appreciate your perspective on this:

It sounds odd that when you change the team in Project settings it woud add a team instead. Regardless of what plan people are on.

What I’ve tested in my Phoenix instance results in another behaviour, is that it changes the location of which project the team lives, but it doesn’t change any access settings. So while I’ve changed the team, the new team doesn’t have access to the project as “shared with team” is not an option anymore.

A bit confusing.

It is good that it shows a message that the sharing controls need to be reviewed, although I feel the description of the message could be clearer.

This does confirm my thinking however…the “Urban Jobs” is the team that the project was moved to not the one it was previously sitting in. It really just adds another step to our process when setting up and moving projects.

@Jan-Rienk, the issues seems to happen when I duplicate a project and change the team in that step too, not just when editing the project details.
I also don’t get the notification that you have posted above about sharing controls.

Hi @Jan-Rienk and @Maxine_Booth, thank you for your feedback. This change was necessary to facilitate the new Team Sharing launch, which will enable IT and admins to manage groups of users at scale.

Now, when moving a project to another team, the project will appear in both teams due to its membership creation. Team pages will then show both projects that are contained in the team and projects that are associated with the team via a membership.

For example, if a project is originally created as “Shared with team,” it will create a membership. When the project’s team is changed, its original membership remains intact, so the project will show up on both team pages.

To fully remove a project from a team page, you need to access the project and remove the team membership. This way, the project will only appear in the new team it has been moved to.

Currently, this change has been rolled out to 50% of domains, so you may see different behaviors in different spaces.

Hi!

I’m trying to move some projects from one team to another. But now all the projects I moved are visible in both teams. Shouldn’t they disappear from the team I moved them from?

Our Developers have made some updates. Now, when you move a project between teams, you’ll be prompted to update access. Here’s a screenshot of the new pop-up window you’ll see when changing a project’s team via the drop-down:
