Ability to Add a Project as a "Mirrored Task" under Another Project

Hi,

I think it would be great if we could add a project to another project, but have it shown as a task. That task should mirror the structure and layout of the project it is referencing so that when the project is updated, so is the task/subtasks, and vice versa so that it is updated live in both locations.

We like to list projects in other projects as tasks to give them visibility, and I think functionality to have entire projects live inside other projects as tasks would be great for 100% visibility and help reduce the amount we need to jump around.

I know it’s a huge ask and it would be quite an advanced feature to implement, but I know it’s already partially doable since it’s possible to duplicate this functionality manually by add tasks to other projects, turning them into Subtasks, etc., just time-consuming to create all the links manually.

Sorry if this is a duplicate request, I couldn’t find this exact thing being requested otherwise.

I am aware of the portfolio feature, I am hoping to take it one step further and avoid hopping around so frequently from one project to another and avoid having to open multiple windows to view tasks. The portfolio feature doesn’t really resolve this as it still requires that you click into the project and open it in a new window to see the tasks. I’m also aware that we can relate projects in the overview windows.

The main idea behind my suggestion is to reduce window hopping and increase holistic visibility of multiple projects’ tasks in a single area. This is especially important during meetings, where clicking in-and-out of a project tends to create distraction and causes people to lose focus. We have set up “meeting projects” to track & review several other projects at once.

I appreciate you marked this as “resolved”, but I still don’t feel like the portfolios are the answer to what I’m suggesting. Unless there is a way to actually open the tasks lists of the projects without opening a new project window, which I wasn’t able to find in my usage of them.

Thanks for providing further context.
I unresolved my response, no problem at all.

I would offer another suggestion for you:
Create an advanced search with all the criteria you require to appear for those meetings.
You can saved those advanced searches and access them at anytime as they are dynamic.

Advanced searches can bring up tasks from many projects and you can drill down your search to specific advanced filtering.

Thanks Rashad. This is a possible workaround, for sure. I am thinking possibly setting up some tags or some other field that can unite the related tasks. I also believe in an advanced search I can group tasks by the project they’re in, right?

Yes, you are right. Once you perform your advanced search, at the top bar, far right, you will get the option to adjust the filter of your search and select how you wish to view (sort).

Click on it and select, project, you will get all the tasks listed per project. It is quiet handy.

This would have worked great if I could use “tags” since they are much easier to access like-tags and don’t require an advanced search. Unfortunately, Asana does not allow us to set up rules that modify tags, which I found peculiar.

In any case, a mirrored project structure shown as a task would work best, though I’d like to keep this open I won’t hold out my hopes for it. In the meantime I’ll see if I can employ custom fields so we have some kind of working alternative.
