Use rules to add a task to all projects within a portfolio

I would love to see portfolios show up as a variable within our custom rules.

Examples:

  • When a task is added to this project // check if _____ // then add to all projects within ______ portfolio
  • When a project is added to this portfolio // check if ______ // then _______
  • When a projects status is changed // check if status is complete // then [external action] (in the case where this same external action would apply across all projects within the portfolio)

Especially as we start to lean more heavily on portfolios to organize our work, there are a lot of efficiencies to be realized if we could reduce duplication of rules across projects, and increase automation of work within those portfolios.

For us this shows up heavily in the first example – we use tasks to help share capacity across teams (OOO plans, in person events, travel, etc.) and will use rules to share those tasks across XFN projects. If we could simply add those tasks to another teams portfolio of work rather than manually adding them to each individual project it would save significant time (especially in having to continuously update those rules every time a new project gets made).

How do you record teams OOO and Travel plans and how does that feed into other projects for capacity planning? Could you please share some more info?
