Subtasks Cheat Sheet: What you need to know

There appears to be limited options to create rules associated with subtasks; for example, I would like to create a rule where the assignee for the parent task also is the assignee for the subtasks, but I am unable to do so. Or if someone marks a parent task complete, the subtasks can be marked complete as well. Any suggestions for workarounds? Thank you!

Maybe Flowsana.net (@Phil_Seeman) offers features that could help.

I’m unclear what the trigger(s) and action(s) are that you’re looking for in the first case you ask about, so maybe specify that in greater detail.

The second case is not supported natively in Asana.

In your first case, do you need to have your subtasks created (and unassigned) initially? If not, perhaps you could consider a rule that runs only on tasks (not subs), triggers on assignee is set, and creates subtasks where the assignee of the parent is assigned to the new subtask(s):

For your second point, I personally see more value in completing a parent task when all subs are completed (since I use subs as smaller components of the parent’s work). This behavior is already supported in native rules. Perhaps a slight adjustment in your workflow to match the existing functionality could be considered?

I’ll take a look again, but it doesn’t appear that I can set the workflow to do so. Thanks again!

Make sure that you have selected the setting “Run on tasks and subtasks” (default is Run on tasks) and then select the trigger “Task or all subtasks completion status is changed” (from the resulting dropdown, select All Subtasks)
