I am trying to create a rule for my fiscal years that will select a custom field item based on a start date entry. The start date needs to be in between set dates in order to make the correct selection.
For example, if new work populates into the portfolio with the date 11/7/2025, the rule will check and find that the date is between 3/31/2025 and 4/1/2026, then it will change my custom field to show FY2025. The attached image shows the rule set up.
Once the custom field item is selected, the project will then relocate to the corresponding folder based on another rule.
Currently, I have not been able to get this rule to run. I have checked all dates to make sure none were overlapping, which may cause the rule to not make a selection.
I would greatly appreciate the help to solve this issue, as all of the options are available to make this rule run.
The rule will only run on new work added to the portfolio, not existing work already in the portfolio. Maybe that’s the problem? Either 1) add new work to test, or 2) probably what you need is to add a When for Run rule manually, so the When triggers the rule in either case of your running it manually on an existing project in the portfolio or it runs automatically when new work is added.
@Phil_Seeman, I think you’re talking about “Start date is approaching,” but that’s not used here.
Thank you all for the info. Fortunately, the Asana Support team was able to help me resolve the issue. The rule is now working as it should. lpb is correct, the rule will only run for new work added to the portfolio. This specific rule will run constantly and does not have to wait until the midnight refresh. The culprit was a mistake when choosing my start date option from the custom field selections. I currently have a start date field that is a custom field and not the start date within the due date selection. I selected the wrong one.
