I saw somewhere the new ability to assign placeholder assignees based on ROLES. I.e an assignee can be listed as Lead Developer, UX/UI Designer, Dev Support, QA tester, PM etc rather than the real live assignee.
This is also outside of a project template if I remember correctly.
My goal is to set up a sandbox project to test out this concept and play around with the workflow and organization of our Asana projects, and the placeholder assignee will be especially helpful to demo the ability to view the workload for each person in the timeline or gnatt chart view.
I went through the release notes for Sept - Nov 2025 but couldn’t find anything about that, but swear I saw this somewhere online and clocked it for future use!
Note that the Capacity Plan feature is exclusive to the Enterprise and Enterprise+ tiers, and the features uses only People and Projects; it is disconnected to tasks with assignees, and therefore it is separate to the Workload feature, too.
This is exactly a feature of project templates, separate from the feature that @Richard_Sather mentioned, and only helps until the moment when you create a project from the template and choose to assign the role to a real person assignee (or skip).
thank you both ! the capacity planning is likely what my fuzzy memory was referring to . I am coming across the barrier against being able to assign placeholders in my test projects to demo for timeline or gnatt view to review live workload vs the resource planning objective of capacity planning
Apart from creating proxy assignees with +1 behind my email for asana, does anyone else have any other tips or tricks for this?
