Now introducing Variables in Rules

Thank you, I think this is a step forward. Ideally, the next piece would be allowing these custom field variables in Teams messages as a communication avenue.

Would like to request that variables be available in other rule actions aside from comment. Use cases that would help would be: Slack message, email, subtasks or new tasks – in all cases it would be super helpful to have variables. Example – you want to leverage Slack to automatically trigger a non-Asana user in the org to take action, but they need the context of the task title or they need to know who to go to for questions (the task assignee).

Adding to this - Would like custom field variables to be available in Assignees based on the ‘people’ custom field. Is this within the plan to add?

Good news! You can now use variables in titles and description for tasks and subtasks created via rules!

This is great! I just started using this today and it’s already been helpful. One thing that I was was available was when the custom field is a “Date” field type, if we could set or adjust the Date Format for it. Defaulting to YYYY - MM - DD makes it a bit long, especially when the year usually isn’t context that’s needed.

Is there any way to set a created sub-task due date to BEFORE the due date of the trigger task? It seems counter-intuitive to set a date of a sub-task to after the due date of the parent task.

Hi @billyadams, thanks for sharing your feedback with us! It’s currently not possible to change the Date format but hopefully we can add some settings in the future. In regard to your second question, I’m afraid you can set the due date to after the due date but you could select the task to be X days after the trigger time instead of the tasks due date. hope this helps!

Happy Friday everyone!

Today, I’m excited to announce we are launching a new dynamic value for Rules that will allow you to set variable assignees to tasks and subtasks created via Rules. When setting the task assignee, you will have the option to add a set assignee to all tasks/subtasks or you will be able to select one of the options below:

  • Task creator: User who created the task
  • Assignee: User assigned to the trigger task
  • Rule triggerer: User who triggers the rule

FYI this capability is available in the Add subtasks rule action in our Flowsana integration.

Are there any plans to add the dynamic roles in a project, to these options?

A post was split to a new topic: Can you use the variables to pull in custom field entries from the original/triggered task submission?

We don’t have immediate plans to implement project roles as variables in rules, @Liv_Tillema! Feel free to create a new request for this feature in the Product Feedback category and we will make sure to update the request once we have any news!
