Introducing Asana's Management Dashboard for global fields: Enhancing Workflow Visibility and Consistency Across Projects

Managing and standardizing workflows across multiple projects and teams can be challenging. This is where custom fields have played a critical role - in helping to organize, track, and execute key initiatives! However, the lack of visibility into where & how a custom field is being used can result in workflow inconsistencies and inaccurate reporting.

I’m thrilled to announce a new feature called the management dashboard. At a glance, you’ll be able to view all the projects that the custom field is utilized on. In the future, you’ll be able to take additional actions from this dashboard to continuously streamline and track your workflows.

The management dashboard can be accessed by editors and admins of the field in the following ways:

When adding or viewing an existing field within a project

  1. When adding an existing field to a project, open your project in Asana and click the + Add field button in the top bar to add a new field.
  2. Select Choose from library to open the field library.
  3. Click the book icon on the top right of the pop up to open the field gallery.
  4. Click on any field in the library to launch the preview page for that field.
  5. Click on the Dashboard tab to open the new management dashboard for fields.

When adding or viewing an existing field through the Customize menu

  1. When adding a field to a project, open your project in Asana and click on the Customize button.
  2. From here, you have two options:
  • Select Fields under the Edit section, click on the +Add button and then select Browse library.
  • Select Fields under the Add section, click on the Choose from library tab and then click on the book icon on the top right to open the Full screen library.
  1. Click on any field in the library to launch the preview page for that field.
  2. Click on the Dashboard tab to open the new management dashboard for fields.

When editing an existing field

  1. Open your project in Asana and hover over the custom field until the drop-down arrow appears.
  2. Click the drop-down arrow and select Edit field.
  3. The Edit field window will open and the following banner will be visible at the top of the window: Changes will impact multiple projects and portfolios. View dashboard.
  4. Click on View dashboard to open the management dashboard for global fields.

Note: Certain field types are not supported by the management dashboard. These include; assignee, due date, projects, tags, dependencies, created by, created on, completed on, last modified on, actual time and task visibility.

Note this feature is available on Asana Starter, Advanced, Enterprise, and Enterprise+ tiers, as well as legacy tiers Premium, Business, and Legacy Enterprise.

Wouldn’t it be nice (and even logical) to be able to access this via the Admin console?

When I click on the field in the library, all it does it add the field to the project, a do not get a preview page.

@Paul_Grobler - do you know if this is live in all accounts? I am on an Enterprise account but can’t seem to access the dashboard(s)

you can download the fields by using the api.
You will get more info about the fields aswell.

Are Superadmins able to see every Projektname which is using the field? I am normal Admin and i am only able to see my visible projects. I see the full number of projects beforehand.

Will this be expanded to include templates?

It’s so very helpful to now be able to see which existing projects have certain fields, but managing on a template-level means we still have to navigate, one by one, into each template.

We are currently trying to remove a field (that just so happens to be a duplicate that was inadvertently added to countless templates), it only says “this field is part of a template and can’t be removed.” There is no easy way to find those templates.

From a project management perspective, it’s much more ideal to have the projects set up from the start with the right fields, which would be much easier if those fields could be managed at the template level.

If I am just missing this feature, I welcome any insight! I’ve tried but can’t seem to figure it out.

Hi everyone! Just wanted to share a quick update to let you know the global field management dashboard is now 100% rolled out and available on all Asana paid plans :tada:
