Instructions for AI to create subtasks with assignee, due date, etc.

Hoping someone here has a similar experience and can share their guidance!

My team receives creative briefs. The briefs may contain one or more types of requests (email, landing pages, or SMS). I have been successful in having AI Studio extrapolate info from those briefs and move it into custom fields. For example, if a brief contains requests for 3 emails and 2 landing pages, those details are captured in custom fields that include a count of each.

What I want to happen next:

  • AI Studio to build subtasks based on the details in the custom fields
  • I have 7 subtasks that need to be created that follow a similar structure
  • There should be 7 subtasks created for each request – ex: 3 emails should result in 21 subtasks

Where I am stuck

The AI does an okay job of understanding what I’m trying to achieve and will create the subtasks but refuses to fill in any other details, like assignee or due date. So I will get the result expected (eg, 21 subtasks) but the titles are generic and the rest of the details are blank.

What I have tried

When I build the subtasks in the rule myself and then use AI to fill in the details, the subtasks behave as expected (screenshot below). However, this results in only 1 set of subtasks if I leave the box for “Let AI decide the number of subtasks to create” unchecked. But if I check it the AI seems to get stuck in a loop and will create hundreds of the same subtasks until it hits the limit or I manually stop it from running.

Is there any way to instruct the AI to use the subtasks that I have built (like in the screenshot above) and tell it “if there are 3 emails, create this set of subtasks 3 times”?

Something that just came to mind – could a task template work in this scenario? For example, create one task template for each of my subtask types (Create Figma Mock Up, Build Template in SFMC, etc) and then assign the AI the task of “based on the total count of emails, create the same number of subtasks using the Create Figma Mock Up task template” and just iterate for all 7 types?

I would specify to create only three subtasks and provide examples of the expected results. I don’t know if you’ve seen this article that might be of help.
