How to structure multiple projects across multiple users

I have serveral products I need to track work for. I have a team of people who work on those products but also on other, unlreated projects (but also tracked in Asana). I’m trying to understand how to map that to Asana concepts.

For example, I can create several projects, and within those projects I can use lists or boards to manage the tasks. But the people assigned to those projects also work on other projects. How can I see (ideally in board view as well as list view):
(1) all the tasks a person is working on across all their projects?
(2) all the tasks across a set of projects for a view of the team’s work?

In addition, I want to:
(1) stack rank tasks within each project so that there’s a clear set of priorities on the project
(2) stack rank tasks in the cross-project view so there’s a clear set of prorities for the team

Appreciate any guidance

Welcome, @Jeremy_Wadsack,

Those are very broad questions. Have you been to help.asana.com, the Asana Academy, or any training? I’d recommend starting there for a foundation.

Re your specific questions:

  • You can use Starred Advanced search results to see collections of work across projects, grouped by assignee or other ways
  • Team pages have a Calendar tab which shows all tasks with Due dates in that team’s projects
  • You can use muti-homing (a task belongs to more than one project) for work with more than one natural home
  • Projects can have multiple tabs and each can have different filters, sorts, and groups to rank work.

Thanks,

Larry

Yes, I’m still just learning Asana and trying to understand the concepts and how they work. Appreciate the quick response!

Thanks for the mention of Starred Advanced Search. I saw mention of something like that in a previous answer but the link was broken so I couldn’t figure out what feature they were pointing to.

With advanced search I created views by person and by team, which partly answers my first two questions.

Now, how can I view those results as a board, instead of a just a list (particularly by team)?

But, I can’t find any way stack rank tasks.

Advanced search results are only available in List and Calendar views.

Hi, @Jeremy_Wadsack .
Asana is a very attractive tool, isn’t it? I feel lucky to have come across Asana.
Why not try to gradually deepen your understanding of how to make the most of its many features?
First of all, why not try reading around here?
