how to send external email from shared outlook mailbox instead of primary mailbox

Hi, we have an intake application system and at certain steps an external email is sent with an update. The email continues to send from the primary outlook mailbox although it was set up using the shared/secondary outlook mailbox. I have not been able to find a solution. Requesting for help please.

Sorry to hear about the problems you have experienced.
Which Integration are you using to service the emails? Some of the Integrations listed on our website ( Asana Apps and Integrations • Asana ) are not created by Asana, but by third parties. I would recommend checking the relevant integration page for more information on who to contact with any questions.

Hi Joanna. I am have the same question. The intergration is Outlook Email +Asana, which says it was created by Asana. When using the “automate sending emails” function, how can we send from a group email address instead of our primary email address?

Hi @Emma_White,

I’m assuming you mean the Rule action to send emails via Outlook?

If so, the rule actions asks you to authenticate your connection to Outlook (log into your Outlook account and gove Asana permission to send emails on its behalf) before it allows you to setup the rule. The account that does that authentication is the account that the rule will use to send emails from.

Therefore, you will need to create an Asana account for your group email address by signing up yo Asana using it’s email address (this will take up a paid seat) and setting up the rule using that Asana account and authenticating that email account to setup the rule.

Not sure if there are any alternatives out there but this is the only workaround I know of.

Thanks Richard. At this stage we cannot extend our paid seats beyond what we have now. We will just have to leave it as is.
