Hi everyone, I’m sorry if this is a repeated question. Please feel free to point me in the right direction if it has been..

I am a PM and am implementing Asana in our workplace. My project is focused on the conduction of events (training events). These events are held 2-4 times a month and there are tasks that occur before and after the training event.

Those tasks have due dates that are based on the event date (so Event Date - 10 days, etc). The tasks for each event are scripted and have the same general template.

But I’m really struggling on visualizing this in Asana. I know I need to leverage templates. But I’m not sure how to even begin.

I understand exactly what you want. I also think that you’re considering using a template, which is a good choice.

However, before you do that, why not try using the copy function, which is a more basic option?
Copying a project or copying a section should be enough to meet most of what you’re looking for.

I think you can wait a little longer before using a template.

Hi Charles, I run events for my company and love the template option. I would recommend setting up one project with the sections, tasks, descriptions, etc. laid out like you like. Then create a template from that and add in the due date calculations. You can set them up to be x days before or after the event date.

Another recommendation I have is to have a portfolio set up that collects all of the events (projects). You can add this to the template so every time it is used, the project automatically is added. Then you have a portfolio with all of your projects in one view.

Ok, I’m not sure this is still an open conversation but… I had a Visio document that outlined all of the steps in this process and I used that to build out a template. I’m just not seeing how to set the variable of Event Date.

For example, if my event is scheduled to occur on 7/4/2025. I need to use that event date as a variable. Then various tasks that occur before and after that date will be calculated, based on that date.

So Rent Tables would be a task. And that task should occurr 14 days prior to the event. So EVENTDATE - 14 days. Each of the tasks has a due date, but when I click in the Due Date column on Asana, I get a pop up calendar. How do I enter a formula?

Create a template first then edit that template. Those due dates will be formulas based on the overall event (project) due date.

In order to use the relative dates for your project template. You will need to be in the template editor. If you already have a project that you have started as the template, you will need to “save as template” that project. You will find this option in the project action drop down (right side of your project name)
