Email workflow Automation

Hi everyone,

I’m encountering an issue with the Sender Name in emails generated by Asana. Despite updating my name in both my Asana profile and the Gmail account connected to my automation, the emails sent through Asana workflows are still showing only “my name before my domain” as the Sender Name instead of the full name or customized name I’ve set.

Here’s what I’ve tried so far:

  1. Updated my Asana profile name.
  2. Verified and updated the “Send Mail As” name in Gmail.
  3. Tested the workflow multiple times, but the issue persists.
  4. Cleared cached data to rule out any local display issues.

I suspect Asana is pulling the Sender Name from somewhere else, possibly an older cached value or a default name tied to the automation creator.

Does anyone know where Asana workflows specifically source the Sender Name, and how I can ensure it displays the correct name?

I had a similar issue but with Outlook integration.
The sender by name was not working so I adjusted the workflow.

The workflow was triggered by a form submission - so I created a custom field that captures the email address from the form, and that is the field that the Outlook integration picks for the sender. Since I did that, my rule works.

Not sure how much this helps.

When you build the rule, what does it show? I am using the Outlook integration but when I go to create a rule to send an email it shows me the email address that it is sending from in the email step. I have covered my address with green, but it shows the address that it is using.

Asana connects directly into your email account and sends from there – you should see the message attached to the task and also in your Sent Mail box. So it should look exactly as it does when you send any other email from that account. I just took this screenshot from my Sent Mail box that is the email that Asana generated which looks the same as all other emails that I send from directly inside of Outlook. The top line is the Subject Line, then my profile picture, my name and then the email address in brackets.

Everything is set up, and my automation successfully captures the email addresses of applicants who complete the form. These addresses are then used in my Gmail automation to send emails to the applicants. However, even when I select “Assignee Name” or “Assignee Email,” it still doesn’t appear as though the email is being sent directly from me, like a normal email would.

My automation is set to make me the assignee, so the email is triggered using my information. Despite this, the email doesn’t display as if it’s coming from my personal account, which affects how recipients perceive it.

Is there a way to adjust the settings to ensure the email appears as though it’s coming from me directly, with my name and email displayed properly to the recipient?
