I have a portfolio of projects that track our yearly training calendars where each training event is a milestone with custom fields to indicate the training type and category (among other things).
Is there a way to summarize all of this in a portfolio or dashboard view combining multiple projects? I LOVE the individual project dashboards that I’ve created and want to replicate that in a larger summary.
Ideally, I want to be able to show leadership the running total of different training types/categories/etc. over the years instead of having to pull up each project separately.
@Chelsi_Chipps Yes, you can create a global report that pulls data from every project in your workspace. This is the same process as you have done at the project level. Just go to Reporting within your Insight tab.
Does that report pull just project level custom fields or can it pull task level too? I was attempting to create one in the reports section under insights and was coming up blank on how to get what I need.
Any additional guidance you could provide would be incredibly helpful! Thank you!
@Chelsi_Chipps The reports can pull task level custom fields as well as long as they are in your Org Library.
You are probably aware that as a general rule, custom fields should almost always (maybe always - I try to stay away from blanket statements because there are always edge cases) be added to the org library. This allows them to be reused throughout all projects and be reported on in global dashboards.
You would use filters to narrow down the report to only the tasks you want: Example: Task type would be milestones, also select your custom field for training type and category. This will allow you to create global reports for each training type.
I’d start with a portfolio (or more than one if needed). In the List view there, add all the related projects with training milestones. Use Options there to show the Milestone progress column and make it wide enough to show as many milestones as you might have for any project. That’s one view, perhaps on one page, showing all milestones across all projects.
Use that portfolio’s Dashboard tab for the kinds of charts Ron mentions as an alternative to doing that in universal Reporting. There are pros and cons to each approach but they’re very similar.
Since it sounds like what you’re reporting on are milestones which are tasks, you may want to create a Training project into which you multi-home (add to project) all these training milestones, and only those training milestones. Use the Dashboard there for your reporting. That’s another alternative that requires one-time setup but has a lot of power. You could automated the multi-homing with rules, task templates, or project templates, depending on your workflow.
You can use starred advanced search reports (as many as you need) to see detailed results as an alternative to that project, but the project would be more flexible.
