Our organization uses Asana Forms as a centralized intake and ticketing system for all internal service requests. Employees submit requests through a single form, and based on the department selected (e.g., IT, HR, Finance, Infrastructure), the request is automatically routed to the appropriate team and project.
This approach has helped standardize intake processes and simplify request management across the organization.
Current Limitations
1. Lack of Rich Text Formatting in Form Responses
The form description and text-entry fields do not support rich text formatting.
As a result:
- Users cannot properly structure complex requests.
- Important information such as headings, bullet points, code snippets, tables, or formatted instructions cannot be included.
- Request details often become difficult for support teams to read and understand.
2. No Ability to Attach Screenshots or Supporting Files Within Long-Text Responses
Many requests require visual context, such as:
- Error messages
- Application screenshots
- System configuration screenshots
- Process diagrams
Currently, users cannot conveniently embed screenshots within the request narrative. This results in:
- Additional back-and-forth communication.
- Delayed resolution times.
- Incomplete submissions.
3. No Ability to Add Additional Contributors During Form Submission
Many requests involve multiple stakeholders.
Currently, the form submitter cannot specify:
- Additional contributors
- Collaborators
- Interested parties
- Subject matter experts
As a result:
- Teams must manually add collaborators after task creation.
- Important stakeholders may miss notifications and updates.
- Additional administrative effort is required.
Requested Enhancements
Rich Text Support
Enable rich text formatting in form fields, including:
- Bold
- Italics
- Bulleted and numbered lists
- Hyperlinks
- Code formatting
- Headings
Inline Screenshot and File Support
Allow users to:
- Upload screenshots directly within form submissions.
- Insert images into long-text fields.
- Attach supporting documents as part of the request context.
Contributor/Collaborator Selection Field
Provide a people-picker field that allows form submitters to:
- Add contributors during submission.
- Add collaborators/watchers to the resulting task.
- Include multiple stakeholders who should receive updates automatically.
