Q: Can I assign a task to multiple assignees?
A: Asana doesn’t support multiple assignees on a single task (each task can only have one assignee).

To get the same work to multiple people, assign copies instead:

  1. Open the task and click the Assignee field
  2. Click Assign to multiple people
  3. Select the teammates (or a team) and click Assign

This creates separate copies of the task, each with its own assignee, and the copies include all the same info as the original.

Q: Can you import from another PM system such as Jira?

Yes! There are two common ways to bring Jira data into Asana:

  • Jira Cloud Integration
    Import up to 150 Jira issues into Asana with two-way sync support
    (available on Advanced, Enterprise, and Enterprise+ plans)

  • CSV Export / Import
    Export Jira data as a CSV file, then import it into an Asana project

Q: Can Excel / Power Query automatically update Asana projects?

Currently, Asana’s CSV importer can only add new tasks — it cannot automatically update existing tasks when your spreadsheet changes.

For automatic syncing from Excel or Power Query, you would likely need:

  • a third-party integration tool

  • or a custom API integration

I wanted to highlight a great question from today’s session:

Q: If I assign a task with dependencies to external stakeholders, will they be able to see both the assigned task and its dependent tasks?

A: If an external stakeholder is assigned a task, they’ll only be able to see the task and its dependencies if they have access to the relevant project(s) where those tasks live.

If the dependent tasks are in a private project or a project they don’t have access to, they won’t be able to view those linked tasks even if they’re assigned to one of them.

So visibility depends on their project access permissions, not just task assignment.

I wanted to spotlight one of the great questions that came up during today’s session.

Q: What’s the difference between portfolios and Goals?

A: Portfolios and goals serve different purposes in Asana.

  • Portfolios group related projects together so you can get a high level view and track progress across multiple initiatives (they’re a container for projects).

  • Goals track your team’s high level objectives and outcomes, and you can connect tasks, projects, or portfolios to show what work supports each goal.

  • A key difference: portfolios should not be used to represent a goal, and linking a portfolio to a goal does not count toward goal progress (only sub goals, tasks, milestones, and projects can).

Q: How do I link my Gmail to Asana?

A: To integrate Gmail with Asana, install the Asana for Gmail add on from the Google Workspace Marketplace.

Then in Gmail:

  • Open any email.
  • Click the Asana icon in the right sidebar.
  • Sign in and pick your workspace.
  • After that, you can create tasks from emails and search for tasks while you are in Gmail.
  • If the sidebar icon is grey or does not open, refresh Gmail or log out and back in.

Q: How do I add subtasks?

A: To add subtasks, open the task you want to break down, then use any of these options:

  1. Click the Subtasks button in the task details pane.
  2. Right click the parent task and choose Add subtask.
  3. Select the parent task and press Tab + S.
  4. Use Smart Editor to generate subtasks:

After you add one subtask, select it and press Enter to add another.

Yes. You can set a due time (like 2 PM on Friday) on a task.

  1. Open the task and click the Due date field.
  2. Pick the date (Friday) from the calendar.
  3. Click the clock icon in the calendar, then choose the time (2 PM).

That due time will show up on the task and it translates across time zones. :wink:

Q: Is there a way to organize subtasks within a task by grouping them into sections?

A: Yes. You can group subtasks inside a task by adding sections under the subtasks list.
To do it, open the parent task, go to the subtasks list, then press Tab + N to create a new section.

That section will appear under the subtasks, and you can then add subtasks into that section to
keep them organized.

Q: Can I convert client’s CSV into a project?
A: Yes! Click +Create >> Project >> Import to upload your file and convert them into a project.

I suggest exporting an existing project into CSV to have a CSV Template you can use during imports. :partying_face:

Here’s a thoughtful question that was asked during the training:

Q: I’m using the free plan and currently on a trial. What happens when the trial ends, particularly to my projects and portfolios? Will I still be able to access them?

A: When your trial ends, your projects and portfolios are not deleted, but you will lose access to paid features like portfolios (and rules, workflows, etc.). If you downgrade to the free Asana Personal plan, you can still see that your paid features are saved, and they’ll be available again if you upgrade later.

You also won’t be able to access projects and tasks that use paid features on the free plan, and you may see a popup about it.

Good news: you can still export those projects and tasks to a CSV file before or after the downgrade.

Q: How can I duplicate a project template?
A: For project templates, there isn’t a “duplicate template” option.

What you do instead:

  • Create a project once
  • Click the dropdown next to the project name
  • Select Save as template

Then, whenever you need it:

  • Create a new project
  • Choose your template from the list

So templates are reused by creating new projects from them, not by duplicating the template itself.

  • Install the Asana for Slack app and connect your account. Once connected, you can create tasks from Slack messages, receive task updates and notifications in Slack, and take actions such as commenting, assigning, or updating tasks without leaving Slack.

A: There are several Asana features that can help organize and scale your work:

  • Project Templates – Create a standard workflow that can be reused whenever a new customer project starts.
  • Multi-home – Add the same task to multiple projects so teams can collaborate without creating duplicate tasks.
  • Bundles – Make updates across multiple existing projects at once, such as adding new fields, sections, or rules.
  • Portfolios – Use portfolios to group related customer projects and get a high-level view of progress, status, and workload. A project can also belong to multiple portfolios if needed.

A good approach is to create a standardized project template for each customer engagement, then track all active customer projects in a portfolio. This gives you a single place to monitor progress and helps ensure projects don’t fall through the cracks.

Q: How should we use Teams, Projects, and Portfolios together, and what’s the right level of granularity for a small team?

A: Use Teams to organize people (who collaborate), Projects to manage the actual work (tasks and execution), and Portfolios to get high-level visibility across multiple related projects (status, timing, risk, capacity).

For a small team, keep it simple: start with one or a few teams, and create a project per initiative or repeatable workflow (not multiple big initiatives inside one project).

Only add portfolios when you have multiple related projects you want to monitor together; if you only have one project, a portfolio usually won’t add value.

Avoid using portfolios to mirror your team or company structure, and avoid overcomplicating the setup early on.

Simple example setup

  • Team: Marketing
  • Projects: Marketing Requests, Social Content, Campaigns
  • Portfolio: Marketing Overview (for status tracking)

Q: If I assign a task to multiple people, will the subtasks and future edits stay in sync across all copies?

A: When you assign a task to multiple people, Asana creates a separate copy of the task for each assignee. The task description and subtasks are copied, but subtask assignees are not. Each copied task is then independent, so future edits or updates won’t automatically sync across the copies.

Q: How do I create a task dependency?
A: ** To create a task dependency, open the task you want to be dependent, then in the right sidebar click Add dependencies. Type the name of the task it depends on, then select it from the list. Choose the direction: Blocked by (this task waits on the other) or Blocking (this task blocks the other).

You can also set dependencies in Timeline by hovering a task, clicking the connector icon, and dragging it to the task it depends on.**
