Here are some great questions that came up during today’s session:

1. What’s the difference between projects and portfolios in Asana?
Projects are where the actual work happens; this is where you create tasks, assign owners, and set due dates.
Portfolios, on the other hand, are used to track multiple projects at a high level.
:backhand_index_pointing_right: Simple: Projects do the work, Portfolios monitor the work.

2. How can we recover archived projects?
Go to your sidebar → click “Show more” under Projects → browse projects → select status → “Archived projects.”
From there, open the project and click “Unarchive.”

3. What’s the best way to utilize templates?
Templates help you standardize repeatable work.
You can create a project, save it as a template, and reuse it whenever needed, great for onboarding, campaigns, or recurring workflows. This saves time and keeps things consistent.

4. Can you import a list of tasks from another file (like Excel or Word)?
Yes! You can use the CSV import feature in Asana.
Just upload your file, map the columns (task name, due date, assignee, etc.), and Asana will create the tasks for you.
Note: Word files would need to be converted to CSV first.

5. Is there a way to have every new task or project item automatically assigned to me?
There’s no global default setting for this, but you can:

  • Create a rule in a project to auto-assign tasks to you

  • Use * templates with you already set as the assignee

  • Or create tasks from My Tasks, where you’ll be the default assignee
