We’ve recently standardized on an org-wide biweekly project and portfolio status update cadence as our primary leadership reporting mechanism, with the goal of using AI to reduce effort of creating the reports using task details and project updates, improving visibility and enabling AI-supported insights. This has already helped get the right information to leadership more consistently, which was our initial objective.
As a nonprofit organization, the teams and leaders are stretched thin, and asking everyone to post regular updates in Asana represents an intentional investment of time. We believe this investment will pay off quickly, and it already has for leadership visibility, but there’s no way to easily:

Aggregate updates across projects or portfolios for a given reporting period

Organize those updates by program

Repurpose the same content into a broader organizational update for staff
In practice, this means leadership (or operations teams) must manually:

Open each project or portfolio status update

Copy and paste content into another document

Or use an external AI tool to combine updates into a second report
Given time constraints, this step often doesn’t happen even though the information already exists in Asana and was written by the right people.
Why this matters
We’d love to use the same project- and portfolio-level updates to produce:

A biweekly organizational update by program

A report that’s useful to teams and staff beyond senior leadership
If AI or Teammates could:

Read status updates across projects and portfolios

Aggregate and organize them by project, program, or time period
-
Generate a secondary, audience-appropriate report
…it would significantly reduce reporting overhead while increasing the value of the updates teams are already providing.
