I entered a date in the field for one task and thought it would pull to the portfolio view, but nothing is showing up in that column. how do I do that?
Welcome, @Cherie_Sharp,
“last contact” is not a default Asana field. Maybe that’s a custom field your org created?
Perhaps check with the person who might have created the portfolio/project you’re using. Or supply clear screenshots of everything involved here.
Thanks,
Larry
Interesting. I didn’t create it so I assumed it was part of Asana’s library. I do 99.9% of our Asana project creation, but someone else on our team must have added the field because we’re trying to come up with the easiest way to glance at a project and know when someone was last in contact with clients in some way. Not a status update, but just a quick way to know if we’re on top of their project.
So if the last contact date is filled in under the task in the top section “Communication,” how can we get that to pull through to the portfolio view? Thanks!
Thanks, @Cherie_Sharp, for the clear explanation and screenshots.
You actually have added a “last contact” a custom field in two places:
- in the project, meaning it’s an attribute of all tasks in the project, and
- in the portfolio, meaning it’s an attribute of each project in the portfolio.
There’s no explicit feature in Asana to do what you’re asking, but there’s a fairly complex workaround described here:
Note that the author writes in that post that the initial main entry in the topic is incorrect and should be considered as replaced with the post I pointed to.
For a simpler solution, maybe just remove the custom field from the project and ask those who contact clients to update the custom field in the portfolio. You could include a “Notes” or “Next action” field beside it as well to make it have more value than just the date.
Thanks,
Larry
OK. I think I understand! We’ll talk to our team about which place it’s more valuable to see that info and then go with just one spot.
We get so spoiled by technology that it feels like we should just be able to have things magically work
Sometimes it works out that way!
I hope you can find a good approach that works for you.
Thanks,
Larry
