Hello
When I assign a task to an employe I would like to set a due date and a time estimation needed in order to complet the task. Like that I can want to see if I am going to overlaod an employee in the time coming. I also can see if I am going over my budget. How can I do that?

Hello Daniel and welcome to the forum! Great question. I would approach with using custom fields when I assign a task to someone. I would create a custom field where I can enter a number that would be my estimated time for completion and you may want to add a custom field for the assignee to put the actual time to completion as well. You can run reports then based on the workload assignments and add the custom field for the estimated time to complete so you don’t overload someone with work. I would also suggest a custom field that had status for the task (not started, in progress, completed, on hold, etc or percentage completion ranges). There are also some really good integrations for time tracking if you get a chance, check those out (Everhour, Harvest, Timecamp are some).

@Daniel_Hugentobler: Our custom project business is based on T&M. Thus we heavily rely on time estimates (actual + T-Shirt sizing) and as well time tracking. We use Everhour.com. The tool is deeply integrated into the Asana web frontend. We use it for several years now. It’s stable, affordable and has neat reporting features.

Thanks for the answers. I was not able to create a custom field. Probably because I am using a free version right now. Will I be able to add a custom field to a task with the premium version and will I be able to perform calculations with that field?

@Daniel_Hugentobler: Custom Fields will be available for you in the Premium plan. There are three types of fields including numeric ones. Calculations are not supported within Asana at the moment. However I could provide a solution for that. Please DM me in case of interest.

@Daniel_Hugentobler, There’s actually one calculation that’s automatically offered with custom fields (just numeric ones) as described in How to Create and Use Custom Fields in Asana | Product Guide • Asana Product Guide (you may need to scroll that up a couple lines).
If you multi-select two or more tasks, the sum of each numeric custom field will appear in the task pane.
