Ownership Transfer

Hi Asana Community,

I’m having some trouble and could use your help.

We’ve set up an automation using Zapier that creates a portfolio and projects within that portfolio in Asana whenever a new client is created in Pipedrive (whether as a prospect, open deal, or won deal).

I’m not the one who created the Zap, but once the items are created in Asana, the responsibility shifts to me, and I need to take ownership from that point on.

I tried setting up a rule in Asana to automatically transfer ownership of the newly created portfolio to me, but it didn’t work. (I’m including a reference image of the rule I tried to set up.)

Also, I’d like to be added as an admin to the projects when they are created — but currently, I’m not.

This full ownership is essential for me to manage and progress the workflow later on.

So I have a few questions:

  • Could my Asana rule be incorrect, or is it possible that the issue is due to the fact that I’m not the Zap owner? (As in, maybe Asana has some restrictions when you’re only an editor?)
  • Should the Zap owner be the one to create the Asana rule instead?
  • Is there any way to automatically add myself as a project admin when new projects are created in a portfolio? Or does this kind of action have to be set up in Zapier?

Hello @Emilie_Caron1 - I am not too familiar with Zapier but I was able to test out your rule without it and it was able to execute the transfer of ownership for the project. The rule will not change the ownership of the portfolio itself. If the rule is not firing off correctly and assigning you ownership of the projects. It may have to do with something on Zapier.
