Ok team, I have a strange one but it’s one that would make life vastly easier for a lot of my coworkers.
Is there a way to make a quick link of some sort in every Task that lives within a Project to the documents that are uploaded to the Project?
For example, for every Project, we have a document called “Job Drawings” that we need EVERYONE to have easy access to, and it would be nice also for them to have easy access to all the other documents in that project, directly from the task they’ve been given.
I know technically we can just teach everyone how to dig through the Project’s options to find the documents, but a lot of our team members are mobile users and that’s a lot harder, especially on Android.
I don’t think this is native to Asana, or if it is, I’ve missed such a thing.
@Matt5 - for web app users, you can link them to the files tab of the project, which aggregates all files uploaded on any tasks contained within the project. I’m not a big mobile users, so not sure if that will work for those users. Have you tried using the overview tab and key resources section for some of the high-value docs?
Linking them to the Files tab of the project functionally works but won’t be a good solution in my case (unless I’m failing to notice a nice automation feature somewhere) because every time a task is created someone is going to have to manually paste that link in there, and I’m not sure if that link will do any good to Android app users. I think Apple users have the “Files” tab available from what I’ve been told.
Honestly part of the struggle is that many of my users are more like tool guys, mechanic type personalities. They don’t have the time to sit and learn the idiosyncrasies of various softwares. They do interact with the Asana task assigned to them each day but it’s really more like a “Hey, what are we doing today” sort of task. I need all the job docs to live in that task, and any given Project may have dozens of these tasks. Having all the documents (or a direct link to them) available in all Project tasks automatically would really save people a mountain of issues.
Jeremy that’s a great idea, I do appreciate it that, I wasn’t aware of the “add comment” option.
I wonder if this works properly from a Project Template. All of these projects are going to come from a Project Template so that rule will have to be built into the Template. If I do that, is it going to update the URL to reflect the new actual Project or is it going to link them back to the project template?
I don’t believe the link can be made dynamic, it’s going to link to the same location and would have to be updated for each project. You could make updating that link the first task due for the project in the template though!
