When can we expect this to happen please?
Hi Garrett, please can you provide an update on when we expecting to see these features? Right now, our workload plan is pretty redundant without it.
Former Workfront user here - can’t believe how limited the out of office functionality is today! In order to properly resource plan we NEED
- The ability to block out holidays for all team members and remove that day from weekly capacity plans
- The ability to schedule multiple days off at a time in each individual’s profile AND remove time off from capacities (if I’m out Tuesday for an appointment and Friday for vacation I can only add one day at a time which impacts capacity plans for the week)
- The ability to add half days off (or, better yet, ability to add time off in 1 or .5 hour increments so you can exclude scheduled appointments or trainings that would reduce your total capacity for the week)
- Better alerts when assigning a team member work on a holiday or schedule day(s) out of the office
I’m shocked to see how long this idea has been in the queue since this feels critical to proper planning and resource management.
I see this topic as “considered” does that mean they are putting it on the features roadmap? If yes, what is the ETA? thanks!
“Considered” means they’re considering putting it on the roadmap. "
“In Development” means they’re actively working on it with an expectation it will be released fairly soon.
Thanks,
Larry
Hi everyone, thanks for sharing your feedback on this topic! As we begin exploring what this could look like, we’d love to understand more about how you and your teams handle PTO today.
Would you or your teammates be open to entering OOO time directly in Asana if there were a proper, dedicated way to do it (for example via Capacity Planning/Workload)? Or would this only be useful for you if it connected through an integration?
If an integration is the better path, which tools or systems would you expect it to connect with? Any details about what you’d want to sync or automate will help us shape the early requirements.
Thanks for sharing your experiences and needs!
Hi Emily!
If we could consider the integration path, I think it would be worth exploring some of the largest HCM partners: Workday, UKG, ADP, Rippling etc, alternatively a flat feed file may be sufficient as many systems offer this report out of the box. This prevents employees from having to put their PTO into 2 seperate systems. For PTO in relation to project planning I’d like to be able to configure calendar types ( ie a US holiday calendar or canadian holiday calendar) with Stat holidays per project, or have the ability to globally apply something. The upcoming PTO of individuals should show up in a global calendar for admins but would also be valuable for the team owners, and be visibility within the team view. PTO blocks should also reduce the individual’s capacity in Workload as well as show automatically in the forecast for capacity planning so we can plan for our programs more efficiently.
We should also be able to set up black out dates, code freeze dates etc.
At the project level, PTO should flat in the task indicating that there is an impact on the resource with an option to either re-assign or reforecast the delivery date ,.
PTO is a major factor for our workforce management and resource management for projects; this would be a great set of functions to start with!
An integration with a system like Workday or Google Calendar would be huge. Right now, my team has to enter PTO in three different places — our shared Asana calendar, Workday, and our personal calendars. It would also make a massive difference if synced PTO Asana could either:
-
warn you when assigning a due date that overlaps with someone’s scheduled time off, or
-
gray out/block those dates from selection entirely.
Additionally, as a project manager who is building boards and cross-functional workflows, the ability to enter company holidays at a global level and select them in “Project Settings” the same way we define weekends/workdays would be a game-changer. Our company observes holidays beyond the standard federal list, so being able to manually add those dates — similar to how we define a fiscal year — would make planning far more accurate.
Right now, I’m building workbacks in Google Sheets using the WORKDAY formula to account for all the upcoming holidays (Christmas, New Year’s, MLK, etc.), and then manually transferring those adjusted dates back into Asana to keep our SLAs aligned. Having those holidays natively recognized in Asana would eliminate a ton of unnecessary manual work.
And while this may be a pipe dream, it would be incredible if holidays could also be customized by geo — UK, Canada, etc. — and assigned to the appropriate team members so their calendars reflect the holidays they actually observe. But even just the ability to input company-specific holidays at a global level would dramatically improve usability for teams like mine.
Agree agree! We need this.
As a former Wrike user, I am experiencing the exact same issue. For how many wonderful features Asana has, this seems to be a long overdue update. The ability for a PM to manage an entire team’s schedule at the organization and team level, and the ability of individuals to add their own personal PTO days is vital to keeping projects on track. We request you add a feature that allows these days to be blocked off for those assignees so that tasks cannot be assigned to that person on that day. This will greatly reduce confusion and mental load while improving project clarity and timing.
Hi everyone! ![]()
I’m here for an overdue update. As full disclosure, I don’t own these roadmaps… but I’ve worked with my Product partners to advocate for roadmap prioritization and/or get updates.
- The ability to set multiple OOO entries is about to start development, with an expected release in early to mid April. Personally, I’m looking forward to us more natively supporting healthy time-off patterns based on personal family, friend, and/or self-care needs.
- We’re still working on scoping our holiday story. But it continues (albeit finally) to be a commit on our roadmap.
This is great news! This is such huge time sink for our PMs, and this kind of Google Cal integration/automatically flagging due dates that fall on holidays or individuals’ PTO would be a massive time-saver and make project scheduling flow more smoothly.
It would be ideal if rules could include triggers or conditions for OOO statuses. For example, we use Asana for a branch-wide availability calendar including informational entries like hybrid campus days/urgent communication lead POCs. Leave or holiday entries exist on this calendar to “block” workload view. However, it’s an extra step for individuals to remember to set “OOO” and additional extra steps for people to review tasks that may be assigned before/after leave is scheduled. The following rules would be helpful:
- When leave task is added → set OOO for the date/date range.
- When OOO is set → check for tasks with date/date range → notify xyz/add comment/etc.
- When task is assigned → check for OOO → notify xyz/add comment/etc.
