Bulk import terms and definitions into Team Knowledge

Please add a bulk import option to the Knowledge tab on Asana team pages, so an existing glossary of concepts, terms, acronyms, and definitions can be brought into Team Knowledge without recreating every entry manually.

Use case
We maintain a corporate glossary in a spreadsheet and want to make those definitions available in the team’s Knowledge tab and its contextual term hovercards. This request is about Team Knowledge terminology, not importing tasks or articles into an Asana Service Management knowledge base.

Requested workflow

  • Import a CSV or spreadsheet with columns for term and definition.
  • Map columns and preview entries before confirming the import.
  • Validate required fields and identify duplicates, with explicit choices to skip or update existing entries rather than silently overwrite them.
  • Preserve the destination team’s existing access permissions.

Why it matters
A bulk import would reduce repetitive entry and transcription errors, and make it easier to adopt and maintain a consistent shared glossary.

The Team Knowledge help article describes creating individual entries. If there is already a supported bulk-import workflow for this specific tab, please point us to it. Otherwise, please consider this feature request.

Related request: Add Teams Knowledge to Asana API. That thread addresses API synchronization; this request specifically asks for a user-facing bulk import in the Knowledge tab.

Hi,

Thanks for sharing this idea! Bulk importing terms and definitions would certainly make it easier to maintain a consistent team glossary.

As a workaround until this feature is available, I’d suggest maintaining the glossary in a shared cloud storage location, such as Google Sheets or Excel Online, and providing all team members with the necessary access permissions.

You can then add the shared glossary link directly to the team’s Knowledge tab using the Embed link option, as shown in the screenshot. This gives team members a central place to access the latest terms and definitions without having to recreate each entry manually in Asana.

It may not be as seamless as having the glossary natively within Team Knowledge, but it’s a practical way to make the information accessible while we wait for this capability.

Hope this workaround helps!
